ADDITIONAL CODE OF CONDUCT IN REGARDS TO COVID-19:
All members are responsible for assisting us in creating and maintaining a safe and hygienic environment throughout the studio, limit time and person to person contact at the studios. To that end, the following procedures and policies have been added to the general terms and conditions below:
1) Arrive on time, dressed and ready for class.
2) Bring only essential items to the studio.
3) Maintain good hygiene practices while at the studio. Wash/sanitize hands between every class.
4) Maintain social distancing wherever possible within the studio.
5) Eat off-site where possible and no food or drink is to be shared.
6) If exhibiting any signs of illness, please stay home. Staff reserve the right to refuse entry to any Members exhibiting any signs of illness.
7) No parents or guardians will be allowed inside the studio rooms, all drop off and pick-up will need to occur outside the studio space.
8) Follow all signs, studio markings and instructions from staff.
GENERAL CODE OF CONDUCT
The terms “We†and “Us†in this document refer to Ikin Dance P/L the provider of services and the terms “Iâ€, “Me†and “You†refers to the client, the user of the services, and / or the person responsible for the payments for the use of services.
1) Be respectful to your coaches and other staff at all times. Classes are designed to be fun but safety is the number one priority, we require your full attention during training.
2) Bullying, disruptive behaviour and exclusion in classes and at events will not be tolerated, and could result in dismissal from the studio.
3) Social media posts that reflect a negative attitude towards Ikin Dance, our staff, fellow members or any of our clients (eg. GC SUNS, Miss World Australia, Australian Olympic Committee etc.) will not be tolerated and may result in dismissal from the studio.
4) Ikin Dance reserves the right to terminate your position in your class/es for any behaviour that we deem unacceptable, warnings will generally be issued first however.
5) Attendance is essential to keep your position in any concert/event routines that you are participating in. Please contact your respective studio prior to your class start time (if possible) if you are unable to attend. If you wish to perform in any event you must be at all classes and/or rehearsals where possible, otherwise the routine may need to be re-blocked without you. However if your teacher has received a valid explanation in advance and it doesn’t affect the routine they may still allow you to perform in the event.
6) At concerts/events you are representing Ikin Dance so it is expected that all students maintain appropriate behaviour at all times.
7) If you are injured or seen as unfit for any given performance, Ikin Dance reserves the right to keep you from performing.
8) Parent/guardian viewing: To ensure students maintain focus and in accordance with our duty of care to all students in the class, parents aren’t allowed into the studio to view classes. Parent’s will have ample opportunity to view progress of classes throughout the year.
9) General class etiquette must be followed. Proper dance attire, shoes and neat hair that is secured off the face are required in all classes. Students are also strongly encouraged to bring a water bottle. Students are encouraged not to leave the room once class has begun. Please allow for appropriate restroom use prior to class.
10) I understand that Ikin Dance communicates all important information via email. It is my responsibility to ensure that I have a valid email account which I check regularly. Under no circumstances are teachers to be contacted directly either in person, by phone or online - all questions or concerns must go through reception.
11) It is the responsibility of parents/guardians to ensure that their child is dropped off and picked up on time. We are unable to take responsibility for our students before or after their scheduled classes. In case of emergency or unavoidable delay, please contact the studio immediately to inform us of the situation.
12) Additional conduct requirements for enrolment in Elite Program
All Elite students must wear correct footwear to their classes and be dressed in either all black dance wear or Ikin Dance uniform.
Private lessons must be booked through the Ikin Dance front desk only. Prices and method of payment will be confirmed when making a booking.
Only private lesson students are permitted to enter solo competitions with the permission of their teacher/choreographer.
I agree to follow the above code of conduct throughout the entire duration that I am a member of Ikin Dance and realise that my position at the studio is subject to these guidelines.
TERMS & CONDITIONS (GENERAL ENROLMENT)
PAYMENT
1) I understand the fees are dependent upon the number of hours per week enrolled into and then payments are made monthly in advance by Direct Debit on the 1st of each month or casually for drop in Adult classes (please see the Fee Schedule for further details). The Direct Debit is administered by Ezidebit, a global leader in online payments, who charge a fee that is disclosed when this facility is set up. This can be set to pay from a credit card or bank account and I am responsible for keeping the details updated in the parent portal and sufficient available funds to meet my dues and therefore avoid any extra fees.
2) I understand there is an Annual Registration fee of $65 required (plus a $35 surcharge for the Sport Aerobics Program). This is to be paid upon enrolling/re-enrolling or can be debited with the first payment for the year. Sibling discounts are available in accordance with the Fee Schedule. This fee may be waived at the discretion of Ikin Dance for school programs.
3) Should the hourly rates or yearly membership fee change during the school year for any reason, we will give you at least 8 weeks notice before the change comes into effect.
4) Payments will be suspended after the final debit of the year for the Christmas holiday break and will automatically re-commence again from the first week of classes.
5) Late Fee Policy: Ezi-Debit automatically charges a decline fee anytime a payment declines, currently this fee is $14.80. Ezi-debit reserves the right to change this fee at any stage with notice. Further, every payment that falls due has a maximum of 2 weeks (a fortnight) to be paid before a late payment fee of 10% is applied. I will receive an email to inform me of any declined fees and to make payment by credit card as either a one time payment from my Portal, over the phone or in person. If this remains outstanding before the next payment is due, the arrears will be referred to the accounts department to follow up with me. I understand I can keep my account with the studio in surplus and any credit balance can be used for any future dues like costume fees thus avoiding any late fees. The surplus balance will not be refunded. External debt collection may occur when fees remain overdue and this will be at my expense.
CONCERTS & EVENTS
6) Mid-year Showcase and End of Year Concert and any other special events: If I wish to participate in these - I understand a participation fee, as outlined in the Fee Schedule, will be debited from my account to cover costumes and additional administrative fees involved (fee also allows for costume shipping costs, exchange rates etc. on international costumes) Costumes will be yours to keep unless hired. We will notify you of any that have been hired and any discounts that may apply. Please note the above costume fee does not include any shoes, stockings or other general dance accessories that may also be required to complete the costumes.
7) I have read my program information and any code of conduct relating to Ikin Dance and the program/s I am enrolling in and am aware of the specific rules and fees that will apply.
CHANGES TO ENROLMENT
8) Cancellation, Class Amendment and Suspension Policies:
a. Cancellation Policy:
If members wish to leave Ikin Dance prior to the final payment for the year, the following notice will be required:
For Ages 7 and over - 8 weeks’ notice is required (or 2 months for Elite Program)
For Ages 6 and under - 4 weeks’ notice is required
The notice period imposed is not a penalty fee. During the notice period time enrolled classes can be continued or swapped for other classes.
For school programs, as spaces are strictly limited, fees are non-refundable for the length of the program provided (ie. if enrolled in a term-long program, a full term's fees are payable).
b. Amendment Policy:
If I wish to downgrade (drop any classes) the following notice is required:
For Ages 7 and over - 8 weeks’ notice is required (or 2 months for Elite Program)
For Ages 6 and under - 4 weeks’ notice is required
If I wish to upgrade (add classes on) we only require notice prior to the next debit date applicable so we can adjust payments accordingly.
c. Suspension Policy:
Memberships may be suspended for the periods outlined below, upon request, for serious injury or emergency. Suspension for any other reason will need to be requested with plenty of notice and approval from Management issued in writing.
Up to 4 weeks for Ages 7 and over
Up to 2 weeks for Ages 6 and under
Cooling off period: If after a suspension period you then decide to cancel due to injury or emergency, we will only charge you the remainder of the notice applicable to complete cancellation.
Notice to cancel, change, drop or suspend classes must be submitted in writing at the Front desk with our Reception Staff. They will give you the appropriate amendment form to complete.
Other cancellation:
Should the studio close down or be sold during the year, we will automatically cancel your direct debit.
MISSED CLASSES
9) School Holidays, Public Holidays and Make up Classes: Classes will generally run as normal during school holidays, but if deemed necessary for any reason, timetables may be reduced. Members also have access to significant discounts on School holiday workshops. Classes will not run on public holidays, however make up classes can also be done where possible on request. Make up classes must be made up within the same year. They cannot be carried over as credit into the following year.
10) I understand that no refunds or credits can be given for missed classes under any circumstances, however ‘make up’ lessons are available in accordance with the above (9).
11) This agreement is valid from the time it is digitally date stamped as having been accepted by me and is valid for any services I may use from Ikin Dance in the future.
INDEMNITY AND PRIVACY STATEMENT
In accordance with the Privacy Amendment (Private Sector) Act (2000), the information contained within this form will be used primarily for the matters specifically related to participating in Ikin Dance classes and/or if a secondary purpose is related to the primary purpose then one could reasonably expect such use or disclosure. If you choose not to provide personal information, we may not be able to provide you with the services you require, or the level of service on which we pride ourselves.
I understand that the advertised timetable is subject to change depending on numbers. I understand I will be given the opportunity to cancel my membership, subject to notice period, if this change does not suit my requirements. I am aware that there is a no refund policy for classes I miss.
Participation in dance classes carries with it a reasonable assumption of risk. I hereby certify that I have voluntarily elected to participate in an exercise session/s at Ikin Dance, and do not hold the organisation or the people involved responsible and indemnify them from any personal injury or damage whilst exercising.
I am happy for my child (or myself if a student) to be filmed during classes / concerts / events from time to time for studio archival and/or promotional purposes and/or for teachers to refer back to for routine feedback.
