Cadance Academy Policies and Procedures 2024/2025
Enrolment: I understand that I/my child is not enrolled in any class until payment has been received and auto-pay in place for automated monthly tuition payments. Once payment has been received students will be registered, confirmed and reserved for their desired class/es. Please note you must be enrolled into a class to be in the recital, and there will be no costume ordered or provided on overdue accounts.
Drop-in’s: Please let the office know if you are planning on dropping into a class to confirm availability based on the number of students in class. All drop-ins are first come first serve.
Fees: HST is applicable on all fees
At Registration:
Non-refundable registration fee of $40.00 per family
Costume deposit of $62.50 per class
First and last months tuition (or 20% of tuition) for each class
Due December 15th, 2024:
Remaining balance of purchased costumes ($62.50)
OR
Rental deposit of $62.50 (refundable upon costume return)
Due March 1st, 2025:
Recital Fun Bundle of $125.00 for the first dancer
Includes; recital fee, 2 tickets to the recital (or 1 virtual ticket), 1 digital download, 1 recital t-shirt, 1 custom recital pin, 1 custom recital sticker, and 1 custom recital bookmark
Additional family members pay $75
Includes; recital fee, 1 recital t-shirt, 1 custom recital pin, 1 custom recital sticker, and 1 custom recital bookmark
Monthly Tuition:
Monthly tuition requires setting up autopay in your parent portal. For ease, the tuition payments have been split over 10 months (Sept - June, actual classes run Sept. 2022 through May with recital on June 8th 2024). Monthly tuition will be collected through auto pay on the 20th of each month prior to the month being paid for.
Paid in Full Tuition:
If you would rather not sign up for autopay you can pay in full upfront. Please contact the office to have your account adjusted to reflect full year costs for a one-time payment. Payment can be made in cash, cheque, EMT, or credit card.
Other Fees:
Ballet Exams: Fees associated with ballet exams include exam prep classes, mock exam in studio, examination, remarks and certificate of completion which will be provided upon determining costs of visiting examiner. Private lessons also carry additional fees should the instructor determine they are needed.
Nutcracker Package Fee: Students participating in Nutcracker have an added cost of $150.00. This fee covers rehearsal time, costume alterations, costume rental, and a Nutcracker t-shirt.
Spring Showcase Fee: Dancers wishing to participate in our Spring Showcase “A Chance To Dance†must pay a $25 participation fee. If dancers wish to have an instructor choreograph their routine for them they must also pay for private lessons to learn the choreography.

Late Fees:
Any Outstanding monthly accounts past 30 days of the payment due will be subject to a late fee of 2% per month.
Failure to make payment/s after the 30 days will result in the following:
A reminder email will be sent 1 day after payment has been missed
A reminder phone call will be given 5 days after payment has been missed
A letter will be sent to your home address 7 days after payment has been missed
Failure to respond to any of the communication above may result in further action for collection.

Discounts:
Paid in Full: Students who pay in full prior to September 1st, 2023 will receive a 5% discount on tuition.
Multi Class: Students enrolled in 2 or more classes will receive a 5% discount on tuition
Please note that these discounts cannot be stacked and are not able to be combined with any other early bird promotions that may be offered.
Costume Policy:
We want to make sure you're aware of our costume policy for the upcoming season at Cadance Academy. It's important to keep things fair and organized for everyone, so here's how it works:
Costume fees must be paid in full prior to ordering. Costumes will not be ordered for any student whose account is not up to date by December 15th, 2024.
Costumes will not be distributed to students whose accounts are not up to date when costumes arrive.
Should you drop a class and not require the costume, please contact the office as soon as possible to determine the order status. If your costume has not been ordered, 50% of your deposit will be refunded and you will not be billed the remaining balance.
No costume fees will be refunded once the costume has been ordered as we cannot return them, however we will let you know when it arrives so it can be picked up.
Please keep in mind that these policies are super important for keeping things running smoothly for all our students.
Lost/Stolen Items:
The lost and found will be located in our main lobby, please contact our office directly if you need help finding something. Please note Cadance Academy is not responsible for any lost or stolen items.
Withdrawal:
If withdrawing from Cadance Academy, a one-month notice is required. Withdrawal must be done by contacting our office at which time an exit survey will be sent to you by email. We ask that you take the time to fill this out as it is very important feedback for our studio. All automatic bank debiting or credit card charges will stop after the one-month notice period. Cadance Academy reserves the right to terminate enrollment of any student without notice. In such a case a refund for unused classes will be given.
Cancellations due to Weather:
Cancellation of Cadance Academy classes will be at the discretion of the Academy and will be posted on the Cadance Facebook page. Please make sure you are checking our Facebook page regularly if there is a risk of bad weather. Our cancellation is run by how the weather is in our area, if the weather is bad in yours, please come at your own discretion. If there are more than two cancellations, subsequent canceled lessons will be offered at times designated by the Academy office, and students will be notified of such make-up classes by email. No refunds for classes missed due to these reasons will be given.
Make-Up Classes:
If you miss a class, you may make up the class that week or the following week in the same style of dance or different. For example, if you take ballet and you want to make up a class by taking a jazz class you are welcome to do so. However, you need to make sure the class you decide to make up is around your age and skill level. Please contact our office for any makeup scheduling.
Substitutions:
The school reserves the right to provide a substitute teacher. If the regularly scheduled teacher is ill or otherwise unable to teach classes. However, if a teacher is unavailable and the school cannot arrange a substitute, any missed classes will be made up.
Dress Code:
Dancewear is required for all classes, please see class descriptions on our website for required attire.
Please be aware Ballet exam classes (Grade 1 CDTA - Advanced) require uniforms that are outlined in the class description. These are to be worn in class as well as for ballet exams. This helps create a more professional look. Please contact our office if you would like to purchase a ballet bundle for your class.
Students are not permitted to wear jeans or shoes worn on the street or outdoors to any dance class.
For safety reasons dancers are not permitted to wear jewelry.
Long hair must be tied back.
Attendance and Lateness:
Students are expected to arrive on time for class. If a student misses more than 3 consecutive classes without notice to the office, the student may not be permitted to participate in the year-end dance recital or Ballet exam.
Students/ Parent’s Responsibility to be Aware of Dates and Events:
It is the responsibility of the parent or guardian to the student to be aware of all Academy activities. The Academy will post this information via the Parent Portal, the Academy Calendar, the Cadance Academy Facebook page. It is the students/ parent’s responsibility to regularly check postings (email, online student profile and Facebook postings) to ensure they are informed. Care of Students:
Cadance Academy is not responsible for providing before or after class care for students. Parents with students under the age of 4 are to remain on the studio premises during their child/ren's class time. Either viewing from outside windows or waiting in vehicles.
Injuries:
Parents, legal guardians of minor students and adult students waive the right to any legal action for any injury sustained on Academy or rental property resulting from normal dance activity or any other activity conducted by the students before, during or after class time.
Photo Release and Privacy Policy:
Cadance Academy is hereby granted permission to take photographs of the students to use in brochures, web sites, posters, advertisements and other promotional materials the Academy creates. Permission is also hereby granted for the Academy and/or Paul Wegleitner Fine Art Photography to copyright such photographs in its name. Cadance Academy will not sell or intentionally share your personal information at any time for any reason.
