These terms and conditions have been put in place to maximise enjoyment and development during Sutton Community Dance (SCD) classes, events or productions.

Booking a place
All classes should be booked and paid for online at www.scd.org.uk/book
Anyone clicking 'book' will be directed to the SCD Online Portal to set up an account. Once an account has been created all new account holders are first required to sign up for 'Auto-Pay'. Once Auto-Pay has been activated account holders will then be able to select and enrol into their chosen classes and will be prompted to pay a one off £10 registration fee per student.
Classes can also be booked and paid for within the SCD centre by visiting the reception desk. We cannot guarantee the availability of a member of staff for bookings within the centre and so we recommend booking online where possible.
Auto-Pay
Auto-Pay is our chosen method for collecting your regular class fees. Through Auto-Pay SCD will automatically charge your registered card on the 1st of each month, for the level of membership that your number of classes chosen add up to.
After saving your card details you will be able to select and enrol for your chosen classes.
Once you have hit ‘submit’ you will be prompted to make a MANUAL PAYMENT to cover the fees due for the remainder of the month in which you are joining, as well as the £10 registration fee if you are a new member.
Customers booking trials will not be required to sign up for Auto-Pay.
Payment methods
Bookings online or within the SCD venue are paid for by credit or debit cards via SCD’s secure booking and payment system using Stripe. For one off charges such as trials, single classes or merchandise you are also able to use Apple / Google pay at the studios.
Fees
Classes run September until late July with an August programme also running each year. Arrangements for payments to be made for the whole year in advance can be made by emailing info@scd.org.uk
Fees are kept as affordable as possible to cover the costs of SCD - a non profit organisation. The cost of classes is spread equally over every month of the year, regardless of how many class weeks are in that month. Whilst some teacher costs are reduced over holiday periods, SCD general costs are fixed at the same amount every month. In terms of fees charged equally every month, the exception is August when fees reduce to 50% and 50% discounts are offered on our summer camps for children and adults are offered a reduced programme of classes.
Members are charged automatically on the first of the month for the level of membership they have chosen. We are unable to confirm any class enrolment without payment made in advance. Upon enrolling with SCD students agree to pay for the full year, however monthly payments can be cancelled with 30 days written notice. Notice should be sent via email only to the address above.
SCD always works hard to offer great value for money with having bespoke dance studios, excellent member support staff, free workshops through the year and much more.
Bank Holidays
Classes generally do not run on Bank Holidays.
School Holidays
Regular classes do not run over the school holidays, however workshops, one-off classes and camps will be available to book for children, youth and adults.
Discounts
SCD's monthly fee structure means that one student can attend many classes or the whole family can dance across our broad range of classes. SCD does not offer any other discounts on monthly fees.
Cancellations
Fees paid are non-refundable unless authorisation has been given by the Directors of SCD, in which case the full refund is at the discretion of SCD and each circumstance will be considered individually. Cancellations less than 7 days prior to the date of the first class will be refunded at 50% of the price paid to cover costs associated with the cancellation.
In exceptional circumstances it may be necessary for SCD to cancel a class. If this happens, students will be notified with as much notice as possible by phone and email. Alternative dates will be given, or a full refund/credit will be given for any cancellations made by SCD.
Cancellations of SCD class enrolments need to be emailed to info@scd.org.uk . When received, just 1 more final monthly payment will be taken on the 1st of the following month, for the 1 month cancellation period to be honoured. Students are invited to attend until their last class. If this isn't possible, another family member can attend an alternative SCD class by arrangement over email.
Non-Attendance
We appreciate that some students do not always wish to take part on the day of class but SCD are unable to offer a refund for any student who does not take part. Once a course has been paid for the payee is not entitled to a refund if the student does not wish to attend.
Lockdowns and regional restrictions
If SCD is forced to close the studios, classes for everyone will be run online instead and SCD will continue to make every effort to continue classes uninterrupted. Other special events, such as dance parties will be added for further member benefit.
Trial Classes
SCD offer pre-booked Trial Classes which are charged at £5 per class. Trial Class fees are non-refundable and the payee is not entitled to a refund if the student does not attend the class.
Illness
No refunds or credits for lessons missed due to illness will be issued, however it may be possible to freeze monthly fees on production of a signed, valid and dated doctor’s note with full explanation of the illness.
Holidays
Customer holidays taken during term time will not decrease the price of the monthly fees. Full payment for the month must still be made and no refunds will be given for weeks missed due to holidays.
Levels
Although many of SCD’s classes prescribe a specific age range, it is possible that a student would be more suited to a class of a different level. Please note that SCD teachers want each student to progress at a suitable pace and their decision on which class to allocate must be respected and adhered to.
Arrival and Departure Times
In light of COVID-19 and guidelines from the governement we must ask that students arrive for their class start time, ready to dance. No changing facilities will be available and waiting is no longer permitted. Students will be called to enter the dance studio once the teacher is ready and the studio has been cleaned. Once your class has finished, it is necessary to vacate the space swiftly so that the studio can be prepared for the next class. Please make sure that the person responsible for any children attending is aware of the arrival and departure times, if parents/carers will not be in attendance.
Face Coverings
We ask all those accessing SCD, with the exception of those under the age of 11, to please wear a face covering when in our public spaces. Masks will not be complusory during dance classes, but remain optional should students choose to wear one.
Support for those with SEN
On booking, please give full details of any participants with additional needs. It is the responsibility of the student, parent or carer to notify SCD of such needs to ensure safe and effective teaching methods and standards are maintained.
Siblings of Participating Children
SCD are happy for siblings to be present in a parent and child class as spectators if they are fit and well. If a sibling becomes actively involved in a class it will be necessary for parents to make payment for the siblings involvement at the usual class price.
Spectators during Class
Whether actively taking part alongside a child, or spectating, parents and carers are reminded to refrain from chatting during the class times. If chatting becomes a distraction, spectators will be asked to leave the studio.
Toilet Visits
Please ensure that children are taken to the toilet immediately prior to the start of any class so that there will be no disruption during class times.
Physical Contact
Students and Parents/Carers must be aware that due to the nature of the dance classes at SCD it is usually necessary for the teacher to have physical contact with students from time to time. In light of COVID-19 and the social distancing guidelines teachers will not be in physical contact with students unless in the case of a medical emergency or in the need to offer first aid. Food and Drink during Class
No food or drinks must be taken into the studio, other than a CLEARLY labelled bottle of water. If a student does require food or drink during the class times, students must be taken outside of the studio. Specific refreshment breaks will be allowed during classes which are more than 1 hour duration.
Photography and Film
Pupils may on occasions be photographed or filmed by representatives of SCD during classes, events and performances. By taking part in SCD classes you are agreeing to this taking place unless you have stated otherwise on enrolment. Spectators may not film during class unless the class is a designated Watching Week as this may cause a distraction to those taking part.
Parental Supervision
SCD ask that all parents/guardians of children under 5 supervise their children at all times. Children under the age of 8 require their parents to remain on site, but not within the studio. Parents are invited by the class teacher to watch the final class of the term and will not be permitted within the studio at any other time, unless previously arranged.
Client Information
In line with the Data Protection Act all personal information held is treated as private and confidential and is used solely by SCD. This information will not be disclosed or passed on to any third parties.
Insurance, First Aid and DBS
SCD and all teachers hold public liability insurance which includes accidental injury to any person or property caused in connection with the business. Members of staff with First Aid training and certificates will be on site during class times. Students, Parents and Carers must ensure that all SCD teachers are aware of any medical requirements or allergies which may affect students during class time. All teachers have up-to-date DBS checks completed.
