Distance Classroom & Ongoing Family Communication Plan
Summit Dance Works reserves the right to move to a distance learning classroom at any point in the season. A full distance platform will be made available whenever possible if governmental orders, natural disasters, pandemic situations, or any other unplanned closures arise.
We are unable to provide refunds or credits for any classes, lessons, workshops, or performances that are cancelled or are unable to proceed as the result of any of the above situations. SDW reserves the right to switch to a virtual platform whenever necessary for situations such as snow days, employee make ups due to absences, or other unplanned circumstances.
Media and Photography
I/We consent that all visual documentation of my child such as film, photo, art, digital and or audio recordings done by Summit Dance Works, Summit Dance Company, The Summit Show, The Company Benefit Show, The Meraki Project, or The Project can be used without further consent, consideration, or compensation. Summit Dance Works, The Summit Show, The Company Benefit Show, The Meraki Project, and/or The Project will use these for marketing purposes, publications, demonstration, social media, and display. This includes but is not limited to: our websites, marketing publications, brochures, newsletters, slideshows, and all social media outlets.
I/We consent that all visual documentation of my child such as film, photo, art, digital and or audio recordings taken through any of our virtual platforms (Zoom, Thinkific, Google Classroom, Facebook Live, Instagram Live, etc) can be used without further consent, consideration, or compensation. Summit Dance Works will use these for marketing purposes, publications, demonstration, social media, and display. This includes but is not limited to: our websites, marketing publications, brochures, newsletters, slideshows, and all social media outlets.
I/We consent that all digital photo documentation of my child such as social media posts, studio photo comments, and any other documentation that I post specifically to the Summit Dance Works studio social media pages, using any of the tracking SDW hashtags, and/or check ins to the studio through social media location tracking, can be used without further consent, consideration, or compensation. Summit Dance Works will use these for marketing purposes, publications, demonstration, social media, and display. This includes but is not limited to: our websites, marketing publications, brochures, newsletters, slideshows, and all social media outlets.
I grant Lyndzi Barnes, Summit Dance Works, Summit Dance Company, More Than Just Great Dancing!®, LLC; (hereinafter “Entities” irrevocable permission to use my child’s image, name and visual likeness in all forms and media for advertising, trade, and any other lawful purpose. I agree that all right, title and interest in and to all such images and any reproductions or derivative works shall be the exclusive property of SDW. Additionally, from time to time parents and students may opt to share videos, photos or other information on social media pages that may be used, hosted, created or referenced by any of the above named Entities. The party posting takes responsibility for all sharing or posting of such information and waives any claim against the Entities for the release of any protected information. If my child(ren) is under the age of 18 at the time of this agreement, the party signing makes this waiver on behalf of their child(ren) . I hereby release SDW and the name Entities from all liability or legal responsibility that may arise from the acts that I have authorized or consented to herein. I agree that SDW does not owe me any compensation for the acts that I have consented to in this Section. I have carefully read and understand the terms and conditions of this Section.
In the event of inclement weather, Summit Dance Works will issue a message on the studio answering machine, through email, text, and on all social media platforms by 7:30AM for morning classes and by 2:00 PM for afternoon classes regarding the status of classes.
Please note that we will not always close if school districts close as roads are sometime clear by 4:00 PM when classes begin.
Any cancelled classes may be made up on your own time from our regular schedule of classes, our virtual platform, or our per-recorded classes.
Each class has 2 snow/closure days already built into their tuition schedule. Every snow/closure day after the initial 2 allotted classes, will be switched to a distance learning format. Please see our distance learning waiver for more in-depth information.
SDW uses a “green, yellow, red” system of continuous parent communicating regarding the status of classes which can be found in the top right-hand corner of our website and social media. GREEN means "GO" - indicates to attend face-to-face classes as usual. YELLOW means "SLOW" - indicates a cautionary change to service delivery, so please check your email. RED means "NO" - indicates clients should stay home and attend class online.
Our normal month by month and annual contract withdrawal policy will still be followed even in the event that we move or are ordered to move to a virtual distance learning platform.
Summit Dance Works uses parent/guardian emails to send monthly newsletters, important information regarding inclement weather closures, events, and any information regarding your dancer's class. Please read over any information sent by Summit Dance Works. Important information will always be located on Summit Dance Works website, posted on our Facebook page, marked as announcements in our private facebook groups, and emailed to the email address on file and posted around the studio.
You will also receive automatic emails such as receipts, credit/debit card expiration notifications and balance notifications. Summit Dance Works may need to contact you via telephone- please make sure your contact information is always up to date. Contact the front office if you need to update your billing, mailing address, phone or email at anytime.
Please do not talk to faculty in between class times. In this small timeframe they do not have time to make sure they are giving you the absolute correct answers. All questions, comments, or concerns need to be directed to the front office staff. They will make sure that it gets to the right person. All faculty members have an email that you can send emails to if necessary. Every staff email can be found directly on our current member website.
Safer Studio Policy
SDW requires all staff and students to stay home when they are ill. In order to reduce community spread of Coronavirus or any other disease, we follow best practices and recommendations from our local health department and from our industry association, More Than Just Great Dancing!® and Youth Protection Advocates in Dance.
SDW has the right to cancel or reschedule any class if a teacher cannot attend or we cannot find a substitute.
SDW understands that unlike older children and adults, young children cannot be expected to maintain social distancing at all times. Therefore SDW focuses on a hierarchy of measures beginning with keeping ill people home, followed by frequent hand cleaning and good hygiene practices, amplified cleaning, and curricular and facility adaptations to minimize contact and mingling where possible. All studio classes are backed up on an online learning platform. In the event a class is unable to be held at the studio classes will convert to an online learning platform until in-studio classes can resume.
SDW will be keeping traffic inside the studio doors at a minimum until further notice. We will not be opening our lobbies or common areas to anyone other than dancers at this time and dancers will not be allowed to hang out at the studio during breaks until we are given the ok for large gatherings of people.
SDW reserves the right to deliver class content via an online system in the event that classes are not able to be conducted live for any reason including, but not limited to: weather, teacher absence, or governmental advisory. No refunds will be given if a similar online class is provided in place of an in-studio class.
Studio Cleanliness & In-Studio Parental Supervision
Summit Dance Works will follow all guidelines set forth by the Colorado Department Of Health, El Paso County Department of Health, the CO State Governor, as well as our COS Mayor.
SDW will not be allowing spectators, siblings, or anybody other than dancers allowed into the building until further notice. However, all parents will be able to sign in via our virtual platform ZOOM to watch classes in any event where our lobby and main areas are closed.
Please do not drop off dancers any earlier than 10 minutes prior to their class start time. With our staggering class times, zoom sign ins, and social distancing guidelines - we cannot allow dancers into the building prior to the allotted slot of time.
It is extremely important to be at the studio to pick up your dancer on time. A $10.00 courtesy charge will be added to your account If a staff member should have to watch your child for longer than 5 minutes past their class. Any dancer that is there after the studio’s final class of the evening has finished will be charged a $25.00 courtesy charge.
Once we open the studio back up fully, parents are responsible for supervision of all siblings, family members, and dancers at all times. Small children at the studio need to be in parents laps or out of the way along the halls and aisles in the building. Children cannot be playing anywhere that would block an emergency exit path or fire path. This is a professional business environment and we appreciate that all guests in the lobby understand that they need to be courteous during class time. This includes keeping volume levels to a minimum and being respectful of all equipment and surfaces in the studio.
Dancers and their families are expected to help keep the studio clean at all times. Please help your dancers pick up after themselves as well as use the appropriate trash cans.
Dancers are not allowed to be in any studio without a teacher present in the classroom. Please keep the dancers in the hallway until they have been invited in.
Parents should not be in the classroom during any class or private at the studio. While we are on social distancing guidelines, ZOOM will always be on in each class so you can watch your dancer attend their class from the comfort of your mobile or home device. When we do have our common areas open again, the cameras and tv are always on in the parent observation room so you can watch. Teachers may close the curtains at any time if dancers are distracted by the spectators.
Summit Dance Works does record all ZOOM classes and we have a CCTV system that does record video. We do keep all items stored on a backup server for a minimum of 6 months. If there is any discrepancy, we do use our video footage as our first resource.
I understand that it is my responsibility to clean up after myself and remind fellow dancers & families to clean up after themselves as well. The studio needs to be treated with respect.
I understand that NO drinks other than water are allowed into the dance studios
I understand that if my dancer or any sibling/family association deface or disrespect any studio property you will be liable for all resulting damage and financial obligation.
Tuition Fees and Payments
Tuition fees for our regular dance season are paid month-to-month or annually. Tuition is automatically drafted on the 15th of each month.
If you enroll between the 1st and the 15th of the month, your first tuition payment will run through on the 15th of the month that you enroll in.
If you enroll between the 16th and the end of the month, your tuition payment will be due with enrollment. Your billing information on file will automatically be charged within 48 hours. Your final payment for the 2020-2021 fall dance season will be April 15, 2021 for Academy Classes (May 15th for Company dancers). All payments are charged in full for summer.
All dancers have a $40.00 non-refundable membership fee.
Summit Dance Works offers 2 payment options for your all inclusive bundle items that are additional purchases needed for all dancers. This payment includes multiple perks that you choose plus recital fee, holiday show fee, recital costume, recital tights if applicable, an end of the season yearbook with class photos/individual photos, holiday show video link, recital video link, etc.
MONTH TO MONTH BILLING OPTION : You can choose to pay your tuition month to month and pay the all inclusive bundle within 2 installments. These 2 installments must be made within 40 days of your enrollment and are non-refundable.
ANNUAL/ALL-INCLUSIVE BILLING OPTION: You can choose to spread your all-inclusive bundle throughout all of your remaining payments. Dancers who choose ANNUAL will be contracted to finish out all payments through April 15th regardless if they choose to drop a class.
You can receive a 5% discount if you pay for the entire year in advance. There is also a 10% discount towards tuition for siblings, first responders and military members. No two discounts can be combined, a family is only applicable for one of the following discounts: 5 % year paid in full, 10% tuition OR 3 % ACH discount.
Every dancer must have a debit card, credit card or ACH on file for auto-draft for tuition for the 15th of each month. Parents can make cash or check payments on or before the 10th of each month. As long as a payment is made on your dancer's account by the 10th of the month, the auto pay billing information on file will not be auto-drafted on the 15th.
If a family chooses to have their ACH billing information on file for auto-draft, there will be a 3% discount applied to the overall monthly re-occurring tuition charge. This must be put on file as your first payment method and cannot be changed to a card at any point in the season.
All payments that are returned for NSF or declined payments will receive a $35.00 return fee, which must be paid within 30 days. This is for automatic payments, as well as payments made in person.
All accounts receivable after fourteen days will receive an automatic 10% late fee.
There is NO tuition adjustment due to the length of the month, inclement weather, vacation closures, holidays, or student absences. Dancers are welcome to make up classes that they miss as long as it is a class at the same level or a level below what they are enrolled in.
All fees that have been processed are non-refundable. Please keep this in mind if you are wanting to pay in advance for specific charges.
Withdrawal from Classes
Tuition is automatically drafted from the billing information on file on the 15th of each month. If you choose to cancel classes on or before the 13th of the month, your billing information will not be charged and classes will stop at the end of that month. Summit Dance Works needs at least 24 hours notice to stop tuition payments by the 15th of the month. If you choose to cancel classes after the 14th of the month, your billing information will be auto drafted on the 15th and your classes will stop at the end of the following month.
With our social distancing guidelines, we will only allow a certain amount of dancers per class and since we operate on a month to month type of membership, we appreciate a 30 day notice for all drops in order to make room for the spot in that class.
To withdraw from a class, a parent must email us directly at firstname.lastname@example.org. A form will be emailed to you to complete which will finalize your cancellation. The day of the month you choose to withdrawal from classes will determine your last automatic payment and date of class. You can select an earlier final class date through the cancellation form.
Any class changes must be approved by the front office. During the season, classes will prepare for the Holiday Show and Recital. 1 recital costume will be ordered for each dancer's class for the recital. Please check with the front office for any class changes during the season.
Dancers must be enrolled in Spring 2021 in order to receive their recital costume from their membership bundle. All membership bundle fees are non-refundable and will not include a costume if your dancer drops classes in the fall.
FULL RELEASE AND HOLD HARMLESS WAIVER
I have received or will obtain a copy of Summit Dance Works policies and will take the responsibility to carefully read and follow the rules and policies therein. I understand that Summit Dance Works does not give credit and/or refunds for class(es) missed due to holiday, vacation, illness, weather, etc. Once a payment has been made, Summit Dance Works does not provide refunds. I understand that by checking the box below, I have read, understand, and agree to abide by the policies outlined by the studio.
I have had sufficient opportunity to read this entire document. I have read and understood it, and I agree to be bound by its terms.
I/We understand that dance is an intense physical activity and that injuries will happen. Dancing is a sport, and, like all sports, people get hurt, sometimes very
I/We want my dancer(s) to fully participate, and acknowledge and agree that there is a substantial risk of injury.
I/We agree to accept and assume all costs of treatment, long term or lifetime effects, and other inconvenience and costs, regardless of the seriousness of the injury.
I/We specifically release Summit Dance Works, Inc. As well as all of the faculty members, agents, instructors, or anyone else contracted by Summit Dance Works, Inc. for all claims, however arising.
I/We will hold all these same people and entities harmless for any and all claims, by ourselves, our child or children, or others accompanying us, arising from the activities relating to dance, the dance classes, use of or presence on the premises, or attending or going to or from the studio or events in other locations.
I/We consent that all visual documentation of my child such as film, photo, art, digital and or audio recordings done by Summit Dance Works, The Meraki Project, or The Project Benefit Show can be used without further consent, consideration, or compensation. Summit Dance Works, The Meraki Project, and/or
The Project will use these for marketing purposes, publications, demonstration, social media, and display. This includes but is not limited to: our website (www.summitdanceworks.com) marketing publications, brochures, newsletters, slideshows, and all social media outlets.
I/We have read this Release and understand and agree that by signing this Release, I/We accept complete and total responsibility for any injuries and costs of injuries to ourselves, our children, or anyone in our charge.
