EASTSIDE DANCE POLICIES, RELEASE, AND WAIVER
Dress code: Our dress code is designed to keep dancers safe and distraction-free by having proper, well-fitting footwear and attire. Dancers must adhere to the dress code found here: https://eastside-dance.com/what-to-wear. Dancers without proper dance shoes or attire will be asked to watch class.
Trial Classes: Each new student may book up to 2 trial classes. A trial class booking does not guarantee a spot in that class. If the class is filled before your trial class date, you will need to enroll in a different class. Your trial class may also be rescheduled to another day/time. If you would like to book additional trial classes, you will be charged a drop-in fee of $30.
Waitlists: If a class is full, please sign up for the waitlist. When a spot opens, you will receive a text and email notification that a spot is available and a link to register. Registration for the open spot will be first come first serve. To remain on the waitlist, students must reply to the text or email.
Make Up Classes: If you miss a class, we will do our best to schedule a make-up class, but it is not guaranteed.
• A make-up class can be scheduled if there is space available in another section of the same class. (Adults are welcome to schedule a make-up class in any other Adult class of their choice).
• If there are no alternative sections available or no space, a make-up class cannot be scheduled.
• Make-up classes must occur within the same session and within 4 weeks of the missed class.
• Make up classes cannot be transferred between family members, classes or sessions
• Makeup classes are not available during the first two weeks of a session, Watch Weeks, or in May/June to prioritize performance preparation. Please be aware that during March – June, your dancer may be asked to observe while the class focuses on Spring Performance choreography.
• There are no make-up classes for missed camps or missed camp days.
Eastside Dance Pedestrian Crossing Policy for Dancers: To ensure the safety of all dancers crossing streets between Redmond Studio and Kirkland Studio, particularly at the designated crosswalk located at Old Redmond Road and 132nd. This policy aims to promote a safe and orderly crossing experience for all dancers traveling between Redmond Studio and Kirkland Studio. Compliance with this policy is essential to ensure the safety of all participants.
**Criteria for Crossing the Street**
1. Age Group 11 and Up:
- Dancers aged 11 and older are responsible for their own safety when crossing the street.
- They must use a flag to signal their intent to cross at the designated crosswalk.
- Flags will be provided at the studio and must be returned upon arrival at their destination.
2. Age Group 10 and Under:
- Dancers aged 10 and under must be accompanied by a chaperone.
- Chaperones may include:
- A student mentor (14 years or older)
- A parent volunteer
- Admin staff
- These dancers must also use the designated crosswalk for crossing the street.
Procedures:
- **Flag Usage:**
- Dancers aged 11 and up will receive a flag prior to departure.
- Flags must be returned to the studio upon arrival.
- **Chaperone Responsibilities:**
- Chaperones for dancers 10 and under must ensure their safety while crossing.
- They should maintain a visible presence and guide the dancers through the proper crossing process.
Safety Reminders:
- Dancers should always look both ways before crossing.
- No running or distractions (such as using phones) while crossing.
- Follow all traffic signals and signals from the chaperones.
Late Arrival: Please arrive on time for class. Students arriving more than 10 minutes late may be asked to observe from the side, at the teacher's discretion. This decision prioritizes student safety, as each class starts with a crucial warm-up that helps prevent injuries.
Late Pickup: A late fee of $2 per minute per child will be applied to your account starting 10 minutes after the scheduled end time of a camp or class. For instance, if a class finishes at 12 PM and your child was picked up is at 12:15 PM, the late fee will amount to $10. This fee compensates our staff for their time spent waiting with your child. In case of a late pickup, Eastside Dance will try to reach the parent or guardian on file. If contact cannot be made after 45 minutes, the police may be contacted for assistance and safety. Continued late pickups or failure to pay late fees may result in service suspension.
Emergency/Weather Closures: Eastside Dance uses the Lake Washington School District (LWSD) emergency and severe weather closures as a guideline; however, we will always assess if we can safely operate. When a decision has been made to close the studio, we will email and text all impacted families and update our website homepage. If classes are canceled due to emergencies/weather/power outages, please contact the office to schedule a makeup class.
Shoe Borrow Bin: Our borrow bin shoes are available for camps, trial classes, or if you forget your shoes. However, please keep in mind that they cannot be used on a weekly basis as we may not always have your dancer's size. It is essential to have the proper footwear to participate in class; dancers without the correct shoes will not be able to join the session. If you are experiencing financial constraints, we may be able to provide your dancer with a pair of quality used shoes, subject to availability.

Low Enrollment Cancellations: All classes and camps are subject to cancellation if the class or camp has fewer than 4 students enrolled. If your class or camp is canceled, we will make every attempt to find a comparable class/camp at a suitable day and time. If your schedule does not allow for a change, you will be refunded for the remaining classes or camp sessions. If a class has fewer than 4 students, a teacher may elect to shorten the class if all the material has been taught.
Nut-Free Studio: For the safety of our community members with severe nut allergies, we kindly request that you refrain from bringing nuts or food containing nuts to Eastside Dance.
Lost and Found: Lost and found items will be donated to a local charity on a regular basis. Eastside Dance is not responsible for lost items.
Lobby Library: Our lobby library provides dance books for checkout! Dancers who are enrolled in school year classes can check one book at a time. There are no checkouts during our summer session (camps and classes). Dancers have one week to return their books. Books four weeks overdue will automatically be charged a $20 replacement fee to the card on file.
Performance Eligibility & Enrollment
• Eligibility to participate varies by performance. Participation in an Eastside Dance performance is at the sole discretion of the Director of Eastside Dance.
• Dancers enrolled in any school year classes will automatically be enrolled in the Spring Performance unless otherwise noted.
• Dancers enrolled in Company Level classes (Level 2+) will be automatically enrolled in the Eastside Dance Company Performance.
• The Director of Eastside Dance reserves the right to revoke any participant’s eligibility to perform, at any time.
• If a dancer withdraws from Eastside Dance, is unable to perform for any reason, including injury or emergency, or is deemed ineligible to perform by Eastside Dance for any reason, any related performance fees will not be refunded, and no additional performance-related services or goods will be rendered after that point, including costumes, tickets, photos, and/or videos.
Performance Information Packet (PIP) Acknowledgment
• Every performer will receive a Performance Information Packet (PIP) for their performance. The PIP will also be available in the Eastside Dance Class Portal (https://dancestudio-pro.com/online/eastsidedance) and by request at the front desk.
• It is the responsibility of the participant and their guardian to read the PIP thoroughly as it contains all the rehearsal, fee, costume, and performance details for that specific performance.
Performance Class Enrollment & Attendance
• Enrollment and regular attendance in your Eastside Dance class(es) associated with the performance is required to participate in the performance. This allows your dancer to build their strength and stamina for the performance and learn requirements, skills, and/or choreography for the performance.
• If a dancer misses 3 or more classes and the instructor/choreographer determines the dancer will not be prepared for the performance, they will be removed from the performance.
• If a dancer unenrolls from class(es) associated with the performance, they will be removed from the performance. This includes company-level classes.
Rehearsal Attendance
• Attendance is mandatory for all performance rehearsals.
• Dancers must pre-arrange their absences with the performance manager. We will make every attempt to film and share missed rehearsals; however, it is the dancer's responsibility to learn any choreography they missed before their next rehearsal.
• If a dancer misses 3 or more rehearsals and/or the instructor/choreographer determines the dancer will not be prepared for the performance for any reason, they may be asked to be an understudy for that act or may be deemed ineligible to perform.
In-Theater Rehearsal Attendance
• For the dancer’s safety, attendance is mandatory for all in-theater rehearsals, including, but not limited to, dress rehearsals, tech rehearsals, and run-throughs. Attending in-theater rehearsals allows dancers to practice moving in their costumes and to get used to the stage, wings, and stage lights.
• In-theater rehearsal dates and times vary with each performance. Please refer to the PIP for details.
• If a dancer misses any in-theater rehearsal, for any reason, they will be deemed ineligible to perform.
• If the dancer has a known conflict with any in-theater rehearsal, that is an unavoidable major life event (e.g. family grievance, high-school graduation, etc.) please let the performance manager know as soon as possible.
Costumes Requirements
• Eastside Dance will provide and fit a costume for each performer.
• The costumes selected are at the sole discretion of the instructor/choreographer and studio director.
• At our studio, we prioritize inclusivity and are dedicated to ensuring that costumes are suitable for students of all genders, identities, and abilities. If a dancer has specific costume requirements related to their gender, identity, or a disability, please promptly inform the performance manager. Examples of such requirements may include the need for a costume to accommodate a religious head covering, a colostomy bag, or the preference for attire traditionally associated with a different gender identity.
• Dancers must provide their dance shoes for all performances.
Costume Fittings & Pick-Up
• Eastside Dance will ask for parent/guardian to select a costume size. Eastside Dance will order the costume size selected.
• Costumes will be fitted during rehearsal or, for the Spring Performance, during the dancer’s class.
• If the costume size selected does not fit the dancer, Eastside Dance will do all it can to find an alternative size or fit, however, some costumes may not be available for re-order. Please measure your dancer carefully when submitting their size.
• Participants and their Guardian will be notified when the participant’s costume is ready for pick up at Eastside Dance. The Guardian must sign the Costume Pick-Up Form to pick up the participant’s costume if the participant is 13 years old or younger. If the participant is 14 years or older, they may sign the Costume Pick-Up Form and pick up their costume(s).
Lost Costumes
• Once costumes have been signed for and picked up, they are the sole responsibility of the performer.
• If a costume or part of a costume is lost, please let your performance manager know immediately.
• If the costume (or similar item) can be replaced, the dancer’s card on file will be charged the total cost for the costume, rush shipping, and a $75 replacement fee to cover the staff time required to find the costume/alternative item and process the order with the supplier.
• If the costume cannot be replaced, the performance manager will work with you to determine a safe outfit to wear that looks as similar as possible to the costume.
Payment Policies:
• An annual non-refundable Registration Fee of $35 per family is due at registration. The fee is renewed every September. Registration fees cover our music licensing fees, insurance, and studio equipment maintenance, which increase in cost with each student. Registration fees are good for the school year (September 1st - August 31st).
• Class Tuition is auto-charged upon registration and on the 1st of each month following. Monthly tuition amounts reflect how many classes occur during that month. Please note: December tuition is charged on Nov. 1st and June tuition is charged on May 1st due to December and June being partial months.
• Tuition for camps, Events, and Intensives are due in full upon registration.
• Your class tuition will be prorated if you join part-way through the session. Camp tuition cannot be prorated.
• Students may not attend class if an account is past due.
• Enrollment in auto-pay in the Class Portal is required for registration. All tuition, fees, taxes, and penalties will be charged to the card on file.
• All tuition, fees, taxes, and penalties are non-refundable.
• To withdraw from a class, you must unenroll in the Eastside Dance Class Portal (https://dancestudio-pro.com/online/eastsidedance) by the last day of the month to avoid being charged for tuition the following month. Once tuition is charged, it cannot be refunded.
Dance Studio Financial Credit Policy:
To ensure all dancers maximize their use of financial credits and remain actively engaged with our dance community, we have implemented the following policy regarding account credits:
• Credit Expiration: All financial credits (monetary amounts added to your account) must be used within 6 months from the date of issuance. It is the responsibility of the account holder to utilize these credits within this timeframe.
• Notification: We will send reminders via email 30 days prior to the expiration of any financial credits in your account. Please ensure your contact information is up to date.
• No Extensions:Financial credits that have expired cannot be reinstated or extended under any circumstances.
• Usage: Financial credits can be applied toward classes, workshops, and other activities as defined by the studio. Please check our schedule and offerings regularly.
• Account Management: Dancers can manage their accounts and track their financial credits through the Portal.
Payment Authorization:
By making an online payment or providing autopay information, whether directly or through other merchants facilitated by Eastside Dance, I hereby authorize Eastside Dance LLC to process charges using the credit/debit card information on file for all outstanding fees and I affirm that:
1. All credit card or bank account draft (ACH Draft) information provided by me is accurate and complete.
2. All charges incurred by me will be honored by my credit card company or financial institution.
3. I will settle all charges incurred by me at the advertised prices, inclusive of any applicable taxes, fees, and penalties.
4. I am accountable for payment regardless of my student's class attendance and all tuition, taxes, fees, and penalties are non-refundable.
5. Withdrawal from all Eastside Dance programs through the Class Portal (https://dancestudio-pro.com/online/eastsidedance) is required to cease billing.
6. A charge dispute through my financial institution constitutes a breach of contract. Such a breach may lead to penalties, additional fees, collection efforts, legal action, and potential termination of any current or future services offered by Eastside Dance.
Respect & Behavior Policy
At our studio, it is essential for students and families to show respect for our studio policies, classroom rules, peers, and staff. Failure to adhere to these guidelines may lead to the dismissal of the student or family from the studio. Students who disrupt others during class or camp will not be permitted to continue participating. In some instances, a parent may be contacted for early pick-up. Please note that there will be no refunds or credits for missed classes or camps due to disruptive behavior.

CODE OF CONDUCT
(Specific to Bullying)
Dancers are expected to embody kindness, acceptance, and empathy towards their fellow students. Any form of intimidation or physical/verbal harassment directed at other dancers, faculty, or staff will not be tolerated. We encourage a brave community where everyone feels safe to express themselves.
DANCER BILL OF RIGHTS
Each dancer at Eastside Dance has the right to:
- Learn in a safe, friendly, and supportive space.
- Be treated with respect and inclusivity.
- Receive the help and support of passionate, caring adults.
Consequences for Misconduct
Each situation will be evaluated by the Instructor or Staff, and we reserve the right to skip steps in the disciplinary process at our discretion based on the severity of the behavior.
1st offense: The student will be taken aside and given a warning about their behavior. The student may be removed from class, and their parent or guardian will be contacted to discuss the behavior. A meeting with instructors and the program director may be scheduled.
2nd offense: The student will be removed from the studio and will not be allowed to return for the remainder of the dance year or participate in any performances. No refunds will be issued upon removal from the studio.
At Eastside Dance, we believe in the tenacity of our dancers and their ability to grow within a positive, bright environment. Together, we can create a community where every dancer feels valued and empowered.
Acknowledgment of Risk: I recognize that injuries, including permanent paralysis or death, can occur in dance or activities involving height or motion; those activities include but are not limited to dancing, jumping, spinning, tumbling, stunting, acrobatics, and cheerleading. I certify that I have consulted a physician, to the extent that I deem appropriate, concerning the minor(s) I enroll and my participation in these activities. I represent to Eastside Dance that I, and the minor(s) I enroll, are medically fit to participate. I am also aware that participation in camps and performances may involve transportation to and from the event and that such transportation could result in injury or death in a vehicular accident. I am also aware and understand that Eastside Dance instructors will have physical contact with participants to ensure safe and proper placement during Eastside Dance programming.
Consent and Assumption of Risk: Being fully aware of these risks and dangers, I hereby give consent for the minor(s) I enroll to participate in any Eastside Dance programming and for Eastside Dance instructors to make physical contact, aimed at correcting bodily placement and teaching safe alignment, during Eastside Dance programming. I acknowledge and understand that dance and other Eastside Dance programming are not a substitute for medical attention, examination, diagnosis, or treatment, and that dance and other Eastside Dance programming are not recommended and are not safe under certain medical conditions. I voluntarily agree to assume all of the foregoing risks and accept sole responsibility for any injury to myself and to the minor(s) I have enrolled, including, but not limited to, personal injury, disability, exposure or contraction of COVID-19, death, illness, damage, loss, claim, liability, or expense, of any kind, that I, or the minor(s) I enroll, may experience or incur in connection with my/our attendance at or participation in Eastside Dance programming.
Waiver and Release of Liability: On behalf of myself, of the minor(s) I enroll, my family, spouse, heirs, executors, administrators, and personal representatives, I hereby forever release, waive, acquit, discharge, and covenant not to sue Eastside Dance, as well as their agents, employees, officers, directors, instructors, volunteers, spouses, assignees, heirs, guardians or personal representatives for any and all claims from injuries, illness, death, damage or loss which may occur during participation in Eastside Dance classes and programming, including those resulting from acts of negligence. I understand that Eastside Dance has relied upon this agreement in determining the extent of insurance coverage to be obtained and that in the absence of this Release, Eastside Dance would charge considerably higher fees to participants.
Consent to Medical Treatment: In the event of an accident or emergency, I hereby authorize Eastside Dance and its representatives, including its employees, contractors, teachers, coaches, and volunteers, to render first aid to myself and the minor(s) I have enrolled to the extent they deem appropriate. I further authorize Eastside Dance and its representatives to transport or arrange for the transportation of myself and the minor(s) I enroll by ambulance to a hospital or any other medical or dental facility for medical or dental treatment and I authorize Eastside Dance and its representatives, to consent to medical and dental treatment for myself and the minor(s) I enroll. I agree to hold Eastside Dance and its representatives harmless from any and all decisions made concerning medical and dental treatment for myself and the minor(s) I enroll. Additionally, I hereby agree to be personally responsible for payment of all medical and dental expenses, including transportation, which may be incurred by myself or on behalf of the minor(s) I enroll, as a result of any injury sustained while attending or participating in Eastside Dance programming, including future medical and dental expenses related to such injury.
Photography and Videography Release: I give consent for photos, videos, and recordings to be taken of myself and the minor(s) I enroll while attending or participating in Eastside Dance programming. I give permission for the minor(s) I enroll to participate in the Eastside Dance online classes using the Zoom video conferencing service and WDSP-TV (Dance Studio Pro’s online lessons platform) and understand that all live session(s) may be recorded and may contain audio & video interactions that include myself and the minor(s) I enroll. I authorize Eastside Dance to use and publish images, photographs, pictures, virtual recordings, portraits, and audio, video, and/or film footage of me and the minor(s) I enroll in all forms of media and in all manner for publication including, but not limited to, advertising and marketing campaigns, press releases, periodicals, website use, and the broadcasting of reproductions over the radio, television, and on the Internet (including social media). I understand that I and the minor(s) I enroll will not receive any monetary compensation or other compensation now or in the future. I hereby waive any right I may have to review, inspect, edit, or approve such publication and I release Eastside Dance from any claims I may have against it for use of such images, photographs, pictures, portraits, and audio, video and/or film footage of me or the minor(s) I enroll.
AGREEMENT
By checking, “I have read and agree to the terms and conditions” below, I, the participant and/or legal guardian of any minor(s) I enroll in Eastside Dance programming, hereby attest that I have had sufficient opportunity to read THE EASTSIDE DANCE POLICIES, RELEASE, AND WAIVER. I further acknowledge that I understand its contents, agree to all policies stated in these documents, and agree to be bound by its terms and conditions. I hereby release Eastside Dance, LLC, as well as their agents, employees, officers, directors, instructors, volunteers, spouses, assignees, heirs, guardians, or personal representatives from liability. I acknowledge and understand that I am agreeing to a contract with legal consequences. I further agree that this electronic check mark and/or signature is the legal equivalent of my manual signature on this agreement. In the absence of an electronic check mark and/or signature, the payment of fees, attendance at, and/or participation in any Eastside Dance programming shall constitute acceptance of the conditions set forth in this document.
