POLICIES AND PROCEDURES

We, the dancers, and staff of ProviDance Performing Arts Center are a group of faith-based people who have a high regard for each other, the art of dance and the respectability and value of the work we do. All who participate are requested to demonstrate the willingness to be held accountable to uphold the values and ethics we declare as the fundamental guidelines stated below. Whether we are learning, performing, or competing, we show respect to the parents, students, and staff of ProviDance and all the wider dance community, including our competition. As children of God, dancers & athletes we consider it a privilege to participate in a community for the performing art of dance exemplifying the values of integrity, character, leadership, responsibility and professionalism. For our dancers we wish to foster a love for the art of dance and assist in providing the tools to have the most successful life.
Studio Rules
*All members must clean up after themselves. Restrooms are to be kept clean and tidy. Bags are to be stored in the cubbies provided or in the student lounge in a location that is not a high traffic area. Food is only to be consumed in the breakroom area.
*There is to be no running or acrobatics in waiting areas. Non-Registered siblings must be always supervised.
*We are a smoke free environment so please don’t smoke in or around the property.
*Drinks must be in sealed containers only, clear liquids only – NO EXCEPTIONS. No drinks, except water, are allowed into the dance studios.
*All mobile phones must be put away while in class. No recording on mobile phones unless directed by an instructor or staff.
*Students are responsible for their own property. We will not be responsible for lost or stolen items.
*Lost and found is in the front office and is emptied/donated at the end of each month. Please check for lost items. Ensure all dance clothing & shoes are properly and clearly labelled.
*All students 14 and under must remain inside the studio until they are collected by their parents or a responsible adult. This is for the safety of all students and must be adhered to. If they are not on the pick-up list, prior arrangement must be made and ProviDance staff informed ahead of time.
*Please notify PPAC office staff of any legal custody agreement upon registration. We must have something on file if there is any non-custodial parent pick up arrangements.
*No member is permitted to record or take photographs at our studios without permission from the director.
*Parents are not permitted to view class unless given special permission. This allows the students to concentrate on their class work.
*We provide an annual Dance Showcase for parents to see their child’s progress and encourage them to attend this event. Parents are always welcome to wait in reception.
*Students are not permitted to bring friends to classes or rehearsals unless it is a designated “bring a friend dayâ€, or another special event.
*Communication fliers, pamphlets, and notices must be checked whenever you are at the studio. Check your email regularly for dates and information.
*Encourage Students to practice improving their skills outside of class, especially when competitions or shows are approaching.
*Private lessons are offered. Please contact the front desk for more information.
*Tardiness is highly discouraged. If student is more than 10 minutes late, the instructor reserves the right to ask the student to sit out and observe only. Make-Up classes are not applicable to late students.
*ProviDance reserves the right to establish or amend the rules listed herein at any given time.
Enrollment/Registration Policy
*To enroll at our studio a parent/guardian and student must read and agree to our policies and procedures. This is required with each registration season for any new or existing students.
*An enrollment/registration packet must be completed, and all forms signed. This must be turned in with any applicable registration dues. Each student will be charged a $35 annual registration fee in the fall, or with new student enrollment. For 2 or more students, the fee will be $50. Please note: This fee is non-refundable and does not apply to summer camps or workshops.
*Students will be enrolled into suitable classes according to age and experience and this is determined by a qualified dance teacher or coach.
*Cancellations must be made in writing or handed to reception. No refunds are given for term fees paid in advance. 30 day notice is required, otherwise you are responsible for full tuition until the month in which the change is received.
*Enrollment information must be updated at reception if it changes. This includes your email address and mobile phone numbers. Email communication is our primary method of keeping parents and dancers updated. Please check emails regularly and ensure an updated email is on file at all times. We are not responsible for any missed information due to not checking emails regularly.
Make Up Classes
*Make up classes are offered at a similar standard or style if the same class is not available if there is space in the class. Make up classes must be completed within 90 days of the missed day, or they are forfeited. Please note: There is a maximum of 5 make up classes offered in any one 90-day period. Inclement weather or unexpected closures will not allow make up days unless otherwise noted.
*ProviDance reserves the right to deny any make up classes.
Tuition and Fees
*Important – In order for your child to remain active in class, your tuition must be current for that month.
*Tuition is due by the 1st of every month.
*A late fee of $15.00 will be added to your account on the 5th of the month. If no payment has been made by the 15th of the month your dancer will not be able to participate.
*Tuition remains the same regardless of absences or holiday breaks. Tuition is not prorated for Holiday months.
*While tuition may be paid by cash, debit, credit card (major credit cards are accepted), or personal checks, a card must always remain on file. If prior payment arrangement is not made, *ProviDance reserves the right to run the card on file for tuition due. Any returned payment will be charged a $35 fee. Cash payments are encouraged to be the exact amount as we usually do not have change. Students with delinquent accounts of 30 days or more will be dismissed and will need to resubmit full registration fee of $35.00 and monthly tuition to participate. *Accounts must be paid in full to participate in any type of performances, summer camps, or special events.
*If parents have difficulty paying fees, please see Katie to discuss financial arrangements prior to due payments.
*All fees and tuition are considered non-refundable. No refunds or transfers will be made for missed lessons and/or events.
Behavior Policy
*All students are expected to show consideration and respect to all teachers & coaches in the school and to each other. This will ensure a happy and pleasant environment for everyone.
*All students must conduct themselves with honesty and courtesy and show consideration to all teachers and coaches, fellow students, parents and staff.
*Students need to remember they are a role model for other students and show leadership by setting an example through their actions and speech. They need to embrace the dance family rules.
*All students need to take responsibility for adhering to the rules of our studios. To bring up concerns with the appropriate person and be willing to receive direction and coaching as appropriate.
*All students need to represent a high level of integrity and avoid gossip, criticism or disparaging comments about fellow students, teachers & coaches or others involved in our studios. *Have the willingness to face issues and concerns with maturity and dignity.
*Parents will be notified if student behavior becomes unacceptable.
*Foul language and any type of bullying is not allowed.
*ProviDance Performing Arts Center reserves the right to suspend, dismiss, or terminate any student or parent whose attitude or behavior conflicts with the standards of ProviDance.
*ProviDance reserves the right to deny entry, service, or admission to our studio and or performances.
*Dismissal due to inappropriate behavior from the parent or student will not be eligible for refunded tuition or any other fees previously paid on the student account.
Complaint Procedures
*We appreciate sometimes parents need to talk to teachers & coaches about their children, but this may not be during class time. Please make a time outside class time when the teachers & coaches are free.
*If your query about your child is lengthy or of a private nature please arrange to make an appointment with Ruth & your teacher/coach. Requests can be made in writing to reception or by email or phone. Please advise if you need a specific teacher/coach at the meeting.
*If you wish to lodge a complaint about another member of the studio, please schedule a time to speak with Ruth directly.
*All complaints and queries will be dealt with promptly, seriously and with sensitivity and remain confidential.
Dress Code
*Wearing appropriate dancewear and shoes in class is very important. It allows the dancer freedom of movement and provides the instructor with “line of sightâ€. This allows the instructor to see the alignment of the dancer’s body clearly. This helps the instructor provide the dancer with proper feedback and corrections for proper placement and form, helping the dancer grow and improve.
*Correct footwear must be worn at all times. Only dance shoes are to be worn in the studios by students, unless otherwise directed by ProviDance staff.
*Garments must be clean and washed without holes in them and appropriate for dance.
*Hair must be worn with hair off the face for all dance classes.
*No jewelry is to be worn in class at all. Small ear studs are allowed.
*All dancewear and personal items are the sole responsibility of the dancer. ProviDance PAC and Staff are not liable for any lost or missing items.
*If the dancer arrives not wearing the appropriate attire, the instructor reserves the right to ask the child to sit and observe the class instead of participating. This is for the safety of all dancers.
Required Attire by Class
*Ballet – Girls are required to wear a BLACK leotard, ballet pink tights, and pink ballet/pointe shoes for all ballet classes. Hair should be slicked back into a neat, low bun. A hair net is recommended. Black ballet skirts and ballet sweaters are allowed. In cold weather, ballet knitted shorts and legwarmers may be worn for Barre only. Boys are required to wear black tights or shorts, white or black t-shirts, and tennis shoes.
*Jazz, Lyrical, Contemporary, Tech, Musical Theatre, Leaps/Turns, Strength and Conditioning, or Drill – Fitted dancewear must be worn. No street clothes allowed. Jazz or character shoes are required.
*Hip Hop – Loose-fitting hip-hop clothes are acceptable as long as the instructor can see your feet. Clean tennis shoes or jazz shoes should be worn.
*Creative Movement and Tiny Tutu’s – Any dancewear is acceptable for these classes. Ballet shoes may be required, please ask front desk for more information.

Injury Policy
*Dancing is an activity where injuries can occur.
*Injuries must be reported to the teacher or coach by the students. This is important to be aware that they have hurt themselves.
*When an injury occurs at our studio we will complete an injury record for the parent. Depending on the severity of the injury we do expect the parent to seek appropriate medical attention.
*Students who have been injured must present a note from their parent or physician stating they are able to return to classes. If the injury is ongoing we must receive reports regularly so we are aware of the restrictions placed on the student.
*ProviDance and ProviDance staff are not liable for personal injuries or accidents that may happen at the studio.
*Before being eligible to attend any class, an Accident and Injury waiver must be signed.
Social Media Policy
*This is to clearly define our expectations and guidelines for members engaging in social media that relates to its studio or members.
*You must be clear and ensure any information is factual and accurate.
*Any information must respect individuals and the studio.
*Information must not damage in any way the studios or members reputations.
*No choreography is permitted to be posted on any social media without the express written consent of Ruth.
*Please be advised, we reserve the right to monitor any enrolled students publicly posted material on social media. If the students behavior is not in alignment with PPAC’s guidelines, this can be grounds for suspension or dismissal.
By signing below, I acknowledge that I have read, understand, and agree to all the ProviDance Performing Art Center Policies and Procedures. I am aware that not adhering to any of the policies and procedures listed above can be grounds for suspension or dismissal of the dancer.
