Studio Policy:
All students and parents/guardians are subject to the following policies of Pound It Sylvan Lake (the “Studio”). This Studio Policy must be signed through Parent Portal before taking classes.
Financial:
All fees collected by the Studio are non-refundable once processed. Any fees that are payable in installments are for convenience only and do not correspond to the number of classes in any installment period. In the event of withdrawal, no costume or competition fees will be refunded.
Fees may be paid by pre-authorized credit card payments that will be processed on the 1st of each month. Fees may be paid by cash or by EMT only if paid before the first class. All Fee information and breakdown is listed on the Studio’s website. All fees will be taken from automatic CC withdrawal unless another form of payment has been set up with the Studio Director. All families need to have a valid credit card uploaded to portal no matter how fees are arranged to be paid.
There will be a $20 service charge for any cheque or credit card payment that cannot be processed. ?
The Studio will comply with all government mandates that may apply to the operation of classes and class structure. Changes in class structure, schedule, or format may occur throughout the year as a result of government mandates, which may include delivering lessons either partially or entirely online. For clarity, the payment of lesson fees does not guarantee lessons will be held in-person at the Studio. In the event that the Studio is required to make such program changes as a result of a government mandate, no lesson fees will be refunded.
No Pay- No Dance Any NSF payments must be rectified before dancer will be allowed to continue. If a payment is returned, you will receive a notice and the fees will again process in 24 hours. NSF fees are $50 and will be processed with the next monthly payment. Dance fees for all classes are a full year commitment. Dance and costume fees for all programs are non refundable. Monthly instalments are the total class fee divided into 10 monthly payments. Registration fees, competition fees, costume fees and workshop fees and photoshoot/video fees are additional to tuition fees. Competition fees are $300 and are due Oct 20, 2024. This is for entry fees and choreography for 3 competitions. If you want to enter a solo or duet/trio please email us to discuss same. Costume fees are $150 and are due November 20, 2024. Workshop fees are due one week before the workshop. If financial constraints are an issue, our dancers have accessed funding through Kidsport and Jumpstart programs. Families who do not comply with their fee or costume payment obligations may be charged a late fee, and/or excluded from performances. Costume expenses are the responsibility of the parent, and costumes will not be issued to students with unpaid class fees.
Debits will occur in accordance to the payment membership option you have selected. With a monthly membership, first month fees and registration/performance fee $50 will be debited at time of registration. This remains in effect until June 30 of the registered dance year. Accounts can be viewed by logging into your dancer portal via www.pounditdj.com
?Withdrawal/Absences:
Competitive registration is for the full season of classes. Withdrawal during the season is only permitted for a prolonged illness or injury and requires a doctor’s note.
Non-Competitive Students; notice of withdrawal must be received by the Studio in writing at least 30 days before the next payment is due (No withdrawals from Nov/December and May/June for the respect of crew and instructors recital performances). Non-attendance is not considered a withdrawal. No fees will be refunded once processed.
Yours and/or your child's attendance in class is very important to their peers and our teaching staff. As a member of the team, it is a commitment for you to ensure you and/or your child attend classes on time each week and attend all lessons planned. Not only do absences impact the routines we create, it also impacts the social and confidence-building principals we work hard to foster in each age group. This is very important for select classes that only dance once a week. For the street/club programs, this applies to the assigned "Crew" classes, as all other training is optional. However, the best value and dancer development comes from more training. We encourage everyone to take full advantage of this unlimited program. If you know ahead of time that you and/or your child will be absent due to holidays/vacations, commitments or school trips, please let us know at pounditsylvanlake@gmail.com ahead of time so the class impact is minimal. If your child is sick, we ask that you inform our admin team as soon as you can so they can let the teachers know and preparations can be made to catch up on any missed work if needed. Unfortunately we are unable to accommodate make-up sessions for students who miss classes, but will make every endeavour to schedule a catch-up class in the unlikely event that Pound It Sylvan Lake needs to cancel a lesson due to weather or illness.
All dancers are expected to attend their regularly scheduled classes in addition to all rehearsals and
performances. No more than six (6) absent days per dance season may be missed. Any team member with poor
attendance will be dismissed from the program.
Dance requires consistent ongoing training and dancers who excessively miss class will not be able to perform at the same level as those who attend all their classes regularly.
NOTE: After six (6) crew practices have been missed in the semester, regardless of the reason
(Sept-Jan / Feb-June), a private lesson will be required to rejoin the crew class. After the seventh the
dancer will be dismissed from the crew;
The following are considered excused absences:
Death in the family
Scheduled school programs or performances
Wedding or religious dedication of you or a member of your family
Seriously ill or infectious
Injury with a doctors note?
Code of Conduct:
To ensure the smooth, safe running of Pound It Sylvan Lake and an enjoyable experience by all, below you will find our code of conduct. As always we are open to feedback, so if any of the requirements outlined below are unclear or concerning, please contact us to discuss further. Following a formal meeting, we do reserve the right to dismiss or take disciplinary action on any students or parents who breach our studio's code of conduct. No classes (including private lessons) or teachers are to be disturbed unless it is an emergency. Parents are not to approach teachers or students during class and if messages or food/drink/medication needs to be passed on to a student, it must be done through a staff member. All parents must wait in the waiting areas or outside of the studios until classes have been dismissed. We are unable to take responsibility for our students before or after their scheduled classes and it is the responsibility of the parent to ensure their child is picked up and dropped off on time. In the case of an emergency or unavoidable delay, please contact the studio immediately to inform us of the situation so we can keep your child calm and safe until they can be collected. Any questions or complaints must go through our director Sebastian - parents and students are not permitted to contact Pound It Sylvan Lake teachers regarding studio issues unless it has been cleared with the director or receptionist first. Personal meetings with the studio owner can happily be arranged via email. The Facebook Studio member page is not a place to post complaints. We stress that the atmosphere of this group remains positive, supportive and uplifting. Any negativity will result in one warning , then removal from the group. In the rare case of a parent or student showing disrespect or defamation to any parent, staff member or student, a meeting will be called immediately. Physical, mental, emotional or cyber bullying by parents, staff or students will not be tolerated and may result in dismissal from the studio. Aggressive or disrespectful behaviours such as hitting, pushing, kicking or verbal abuse etc are not tolerated. Pound It Sylvan Lake is a 100% abuse free environment and our focus is on dance, but also peace, love, unity, and having fun. In the event any of above behaviours occur: First offence- the student will be immediately suspended and must leave the class and wait in the studio reception area for their parents to pick them up. There will then be a meeting with Sebastian (and instructor) and the student's parents before he or she will be permitted back into the program. Pound It Sylvan Lake reserves the right to expel any student after the first offence based on circumstances of the incident. Second offence- the student is expelled immediately from the program and any dance/competition/costume fees will not be refunded.
All dancers must have appropriate attire for their class.
Dance Studio Hygiene Policy
Purpose:
To ensure a clean, safe, and healthy environment for all students, instructors, and staff at Pound It Sylvan Lake.
Personal Hygiene:
We kindly ask you to use deodorant before class to unsure everyone can enjoy a fresh and pleasant atmosphere.
Clean Attire: Wear clean dance attire to every class. Wash dance clothes regularly.
Studio Cleanliness:
Footwear: Do not wear street shoes in the dance studio. Only use designated dance shoes.
Handwashing: Wash hands regularly, especially after using the restroom and before touching common surfaces.
Water Bottles: Bring your own water bottle. Label water bottles and do not share them with others.
Common Areas:
Restroom; Keep these areas clean and tidy. Do not leave personal items behind.
Trash: Dispose of all trash in designated bins. Recycle where possible.
Food and Drink: Do not bring food into the studio. Only water is allowed.
Illness:
Stay Home if Sick: Do not come to the studio if you are feeling unwell or showing symptoms of illness (e.g., fever, cough, sneezing).
Notify the Studio: Inform the studio administration if you have been diagnosed with a contagious illness.
Injury:
Report Injuries: Immediately report any injuries to the instructor or studio staff.
General Conduct:
Respect: Show respect for fellow students, instructors, and studio staff. Maintain a positive and supportive environment. No bullying tolerated.
Responsibility: Take responsibility for your own belongings and hygiene practices.
Compliance: Adhere to all studio policies and procedures. Non-compliance may result in disciplinary action, including suspension or dismissal from the studio.
Photo/Video Release:
Pound It Sylvan Lake reserves the right to use photographs and videos taken during classes, workshops, performances, or other affiliated events for the purposes of instruction, advertising and promoting Pound It Sylvan Lake and its programs.
Waiver:
Waiver of Liability I recognize and understand the risks of physical injury inherent to dance and dance training and I fully assume those risks. I hereby release 2508346 ALBERTA INC. O/A Pound It Sylvan Lake, event sponsors, employees and dance teachers from all liability for injuries sustained or illnesses contracted while attending or participating in any dance classes, rehearsals, workshops, or performances. I agree to indemnify, defend, and hold harmless 2508346 ALBERTA INC. O/A Pound It Sylvan Lake, employees and dance teachers for liabilities, costs and judgments arising from acts of omissions committed by me or my child which result in injury or damage to any person or property. Protection of Property I understand and agree that it is my sole responsibility to safeguard my personal property while attending or participating in any classes, rehearsals, workshops, or performances. I hereby release 2508346 ALBERTA INC. O/A Pound It Sylvan Lake, its affiliate dance studios, event sponsors, employees and dance teachers from all liability for loss or damage to my personal property while attending or participating in classes, rehearsals, workshops, or performances. I also agree to abide by any rules, regulations and policies set forth by 2508346 ALBERTA INC. O/A Pound It Sylvan Lake. Acknowledgement of Waiver In signing this Release, I acknowledge and represent that I have fully informed myself of the content of the waiver and hold harmless agreement by reading it before I sign it, and I understand that I sign this document as my own free act and deed; no oral representations, statements, or inducements, apart from the written statement, have been made. I further state that I am at least eighteen (18) years of age and am fully competent to sign this agreement; and that I execute this release for full, adequate, and complete consideration fully intending to be bound by the same. I further state that there are no health-related reasons or problems which preclude or restrict my or my child's participation in this activity, and that I will pay any medical costs that may be attendant as a result of injury to me or my child.
