Refund Policy

NEW! 10% of the full year's tuition is due at the time of registration, along with the $35/per family registration fee. Both are non-refundable.

Registering for a class during the regular season is a full year commitment (September to June). We do not offer refunds unless the child is unable to continue due to injury or illness. In the event that a child is unable to complete the year due to prolonged injury or illness, parents will inform the studio in writing. A prorated refund will be given only with receipt of a doctors note. Refunds will be made on a prorated basis from the date of notification, excluding the registration fee and 10% non-refundable amount due at registration.

Photo Release

I hereby grant the West End Academy of Dance permission to use mine or my childs/childrens likeness in a photograph, video, or other digital media in any and all of its publications, including web-based publications, without payment or other consideration.

I understand and agree that all photos will become the property of the West End Academy of Dance and will not be returned.

I hereby irrevocably authorize the West End Academy of Dance to edit, alter, copy, exhibit, publish, or distribute these photos for any lawful purpose. In addition, I waive any right to inspect or approve the finished product wherein my likeness appears. Additionally, I waive any right to royalties or other compensation arising or related to the use of the photo.

Add/Drop Policy

All changes to classes must be be sent via email to info@westendacademy.com before our add/drop deadline, found on the website and on the printed schedule. If we do not receive your request before this deadline, we will assume you are continuing for the second semester and you will owe Spring tuition and associated costume fees.

Release Form

I am aware that dancing and the gymnastic exercises associated with it, places unusual stresses on the body and carries with it the risk of physical injury. On behalf of my child and myself (or if I am no longer a minor, on my own behalf ). I assume this risk and agree that The West End Academy of Dance, Inc., shall not be liable in any way for injuries sustained during attendance at the studio or any of its related functions.

I grant myself or child permission to participate in The West End Academy's current session. I hereby release and discharge West End Academy of Dance, Inc., its agents, employees, and officers from all claims, demands, actions, judgments, and executions which the undersigned designated heirs, executors, administrators or assigns may have or claim to have against The West End Academy of Dance, Inc., its successors or assigns for all personal injuries caused by, or arising from the above described activities or any activities related thereto.

Personal Cell Phones and Smart Watches at WEAD

In an effort to minimize distractions during class time, personal cell phones and smart watches will not be allowed in the dance studios for any reason (including filming, photographing, texting, etc.) unless required for a medical reason. This includes the Sapphire, Emerald, and Ruby Studios. Cell phones and smart watches should be kept in your dance bag in the Dressing Room, Middle School Room, or High School Room. Alternatively, devices may be placed in the designated cell phone basket which will be kept with our Front Desk Staff in a safe compartment.

Please notify us via email at info@westendacademy.com if your child requires a smart watch and/or personal cell phone to be present in the dance studio for a medical reason.

Late Pick Up Policy

A $25 late fee will be charged for any child picked up later than 15 minutes after the conclusion of their last class of the day. The charge will be assessed in increments of 15 minutes. This fee covers WEAD's cost of providing staff beyond their contracted responsibility or hours.

Please reach out if you foresee this being a recurring issue for your family. We are happy to discuss options to provide after-class supervision for your child.

We, members of the West End Academy of Dance (WEAD) community, agree to work together to prevent bullying at our studio. Everyone has the right to feel physically and emotionally safe at WEAD. We will do everything we can as members of our studio to create a safe environment. In addition to bullying, gossiping, whispering, and other disparaging or negative talk, both in the studios and in the common areas, will not be tolerated.

Bullying is defined as intentional, aggressive behavior that can take many forms (verbal, physical, direct, indirect and cyber bullying). Bullying can be one child bullying another, a group of children ganging up against one child, or one group of kids targeting another group.

Some examples of bullying include:
- Spreading rumors or posting degrading, or harmful pictures, messages, or information using social media/internet.
- Name calling, joking, or making offensive remarks about a person, their background, or their abilities.
- Physical acts of bullying, such as punching, slapping, or tripping someone.

I agree to:
- Treat other dancers within the WEAD community with kindness and respect and be a good example for the younger students.
- Not engage in verbal, physical, or cyber bullying and to report any incidents to a WEAD staff member.
- Support the students who have been victimized by bullies.
- Speak out against bullying.

I understand that bullying of any form will result in the following disciplinary actions:
- 1st offense: Individual verbal warning and written notice to parents
- 2nd offense: Write up and conference with parents
- 3rd offense: Write up and suspension
- After 3rd offense, expulsion from the studio is up to the discretion of the Studio Director

Depending on the severity of the situation suspension may be immediate.

NEW! Attendance Policy

Students are allowed four absences per class, per semester.

If your dancer exceeds four absences per semester, per class, they will not be permitted to perform in the recital for that class. Although they would not be permitted to dance in the recital, we would encourage them to continue to come to class when they can. This includes excused and unexcused absences.

Please notify us via email if your dancer will be absent.

-After two consecutive absences without notification, we will make a phone call home.

- After three class absences in a semester (excused or unexcused), you will receive a warning via email that you have one absence remaining.

- After the fourth class absence in a semester (excused or unexcused), you will receive a notice via email that any additional absences will result in your dancer no longer being permitted to perform in the Spring Recital for that class.

- Five or more absences per class per semester will prevent your dancer from being able to perform in the recital for that class.

As students get older and their schoolwork load becomes more rigorous, we encourage families to prioritize academics and take this into consideration when planning your dance schedule.

During the Fall semester, attendance is especially important as we are focusing on technique and building upon our process each week. An overabundance of absences will result in your dancer falling behind their peers. During the Spring semester, attendance is especially important as we are working on Spring Recital choreography. Missing too many classes affects not only the dancer, but the class as a whole. Recital dances are a team effort and having students missing too frequently prevents both students and teachers from preparing appropriately for the recital.

We realize unforeseen circumstances can arise. In that event, please email us at info@westendacademy.com. We would like to try to accommodate when we can. This would include prolonged injury or illness, family emergency, etc.

If a student is injured, they are expected to still attend class to observe, as actively listening is just as beneficial as participating.

General Refund Policy

Summer Refund Policy

By registering for a summer class or camp, you are committing to the entire duration of each. Our Class Drop Deadline is 6/1. We must be informed in writing by 6/1 if you plan to drop a Summer class or camp, or you will be liable to pay the entirety of the session's tuition. (Example: If you register for a class and then decide AFTER 6/1 that you have changed your mind, you will still be liable to pay the entirety of the session's tuition. We do not recommend registering for a class unless you are certain that your dancer will be able to attend). After that time, refunds will only be offered with the receipt of a doctor's note.


Fall/Spring Refund Policy

Registering for a class during the regular season is a full year commitment (September to June). Our Class Drop deadline for the Fall Semester is 8/20. You must inform us in writing by 8/20 if you need to drop a class. No refunds will be offered after that date without a doctor's note (Example: If your dancer decides they do not want to continue a class after the first week for whatever reason, you will still be responsible for the entire Fall semester tuition). If you are unsure if your dancer will want to commit to the entire year, we recommend having them do a trial class the first week of classes before enrolling. Please note that we are unable to save enrollment spots for trial students.

Our Class Drop Deadline for the Spring semester is 12/7. If you plan to drop your classes after the Fall semester, we must be informed in writing by 12/7, or we will assume that you plan to continue with the remainder of the season. If you do not let us know in writing by 12/7, you will be responsible for the full Spring tuition as well as costume fees.
