By registering a parent account and enrolling in classes at Crescents Ballet School you agree to the full terms and conditions on display at the studio, in the Shared Files on the Parent Portal and available from Miss Jane. You are also allowing us to contact you via email and text with studio updates occasionally and information relevant to your dancer. No details are ever sold on to third parties, they are solely for our use.
Crescents Ballet School is committed to protecting you and your dependents’ personal information. We are committed to providing a safe environment for all our customers, employees, casual and freelance workers and everybody who comes into contact with us, both physically and virtually (online). This Privacy Statement relates to the use of any personal information provided to us online or via application forms, telephone, email exchange, letters or correspondence.
Whenever you provide such information, we are legally obliged to use your information in line with current legislation concerning the protection of personal information, including the Data Protection Act 1998 and the General Data Protection Regulations.

WHAT INFORMATION DOES CRESCENTS BALLET SCHOOL HAVE ABOUT ME?
The legislation requires that there is a clear legal basis for processing personal information. In general Crescents Ballet School relies on the individual’s consent in order to process their data.
When you participate in or sign up to any Crescents Ballet School class, activity or workshop, we may collect and store personal information about you. This can consist of information such as your name, email address, postal address, telephone or mobile number and date of birth, depending on how you are engaging with us. By submitting your details, you enable us to provide you with the products or services that you have selected.
When taking pictures of students in class or filming performances, Crescents Ballet School ask for parental permission. Crescents Ballet School may use the images resulting from the photography/video filming, and any reproductions or adaptations of the images for fundraising, publicity or other purposes to help achieve the group’s aims. This might include (but is not limited to), the right to use them in their printed and online publicity, social media, press releases and funding applications.
Crescents Ballet School does NOT share your personal information with third parties, unless clearly stated. We do NOT sell your data, and neither do we buy data from third parties.

We will use your personal information for a number of purposes including:

USE OF DATA PROCESSORS
Data processors are third parties who provide services for us. We have contracts in place with our data processors. This means that they cannot do anything with your personal information unless we have instructed them to do it. They will not share your personal information with any organisation apart from us. They will hold it securely and retain it for the period we instruct. The following is a list of our main data processors.
When sending letters, parcels, publications and purchases we will share your postal address with the delivery service (Normally Royal Mail or Parcel Force).

We use a third party service, One.com to host our website. One.com are contractually obliged to treat any information on our private website as confidential and only use such information for the purpose of providing Crescents Ballet School with web hosting.
« CRB/DBS SERVICE
A DBS checking service for Crescents Ballet School teachers and chaperones is provided by Worcestershire County Council. Information provided by them to Crescents Ballet School will only be shared with the individual concerned. The records are kept for 3 years and then deleted.
« REGISTERS, INVOICING AND DATABASE
We use a third party service, Dance Studio Pro software to store your information and use it for administrative purposes such as timetables, registers, emailing and invoicing customers.

To send you relevant communications for payment of fees and changes to classes

CRESCENTS BALLET SCHOOL GDPR POLICY
GENERAL DATA PROTECTION REGULATION POLICY STATEMENT
GDPR stands for General Data Protection Regulation and replaces the previous Data Protection Directives that were in place. It was approved by the EU Parliament in 2016 and comes into effect on 25th May 2018.
GDPR states that personal data should be ‘processed fairly & lawfully’ and ‘collected for specified, explicit and legitimate purposes’ and that individuals data is not processed without their knowledge and are only processed with their ‘explicit’ consent. GDPR covers personal data relating to individuals.
Crescents Ballet School is committed to protecting the rights and freedoms of individuals with respect to the processing of children's, parents, visitors and staff personal data.
The Data Protection Act gives individuals the right to know what information is held about them. It provides a framework to ensure that personal information is handled properly.
GDPR INCLUDES 7 RIGHTS FOR INDIVIDUALS
1. THE RIGHT TO BE INFORMED
Crescents Ballet School is required to collect and manage certain data. We need to know parent’s names, addresses, telephone numbers, email addresses. We need to know children’s’ full names, addresses, date of birth along with any SEN or medical requirements.
We are required to collect certain details of visitors and chaperones to our dance school. We need to know visitors and chaperones names, telephone numbers, and where appropriate company name. This is in respect of our Health and Safety and Safeguarding Policies.
Although our teachers are freelance, Crescents Ballet School is required to hold data on its teachers; names, addresses, email addresses, telephone numbers, date of birth, National Insurance numbers and in some cases, photographic ID such as passport and driver’s license, bank details. This information is also required for Disclosure and Barring Service checks (DBS) and proof of eligibility to work in the UK.
2. THE RIGHT OF ACCESS
At any point an individual can make a request relating to their data and Crescents Ballet School will need to provide a response (within 1 month). Crescents Ballet School can refuse a request, if we have a lawful obligation to retain data but we will inform the individual of the reasons for the rejection. The individual will have the right to complain to the ICO if they are not happy with the decision.
3. THE RIGHT TO ERASURE
You have the right to request the deletion of your data where there is no compelling reason for its continued use. However Crescents Ballet School has a legal duty to keep children’s and parents details for a reasonable time, Crescents Ballet School retain these records for 3 years after leaving the dance school, children's accident and injury records for 19 years (or until the child reaches 21 years), and 22 years (or until the child reaches 24 years) for Child Protection records.
Teachers' records must be kept for 6 years after the member of leaves, before they can be erased.
This data is archived securely onsite and shredded after the legal retention period.
4. THE RIGHT TO RESTRICT PROCESSING
Parents, visitors and staff can object to Crescents Ballet School processing their data. This means that records can be stored but must not be used in any way, for example reports or for communications.
5. THE RIGHT TO DATA PORTABILITY
Crescents Ballet School requires data to be transferred from one IT system to another; such as from Crescents Ballet School to the Local Authority, for performance BOPA licences. These recipients use secure file transfer systems and have their own policies and procedures in place in relation to GDPR.
6. THE RIGHT TO OBJECT
Parents, visitors and staff can object to their data being used for certain activities like marketing or research.
7. THE RIGHT NOT TO BE SUBJECT TO AUTOMATED DECISION-MAKING INCLUDING PROFILING
Automated decisions and profiling are used for marketing based organisations. Crescents Ballet School does not use personal data for such purposes.
STORAGE AND USE OF PERSONAL INFORMATION
All paper copies of children's and staff records are kept in a locked filing cabinet at Unit G1 Sherriff Street. These records are shredded after the retention period.
Information about individual children is used in certain documents, such as, a weekly register, medication forms, referrals to external agencies and disclosure forms. These documents include data such as children's names, date of birth, contact numbers and sometimes address. These records are shredded or deleted after the relevant retention period.
Crescents Ballet School collects a large amount of personal data every year including; names and addresses of those on the waiting list. These records are shredded if the child does not attend or added to the child’s digital file and stored appropriately.
Crescents Ballet School stores personal data held visually in photographs or video clips or as sound recordings, and written consent has been obtained via the photo and video consent form/permission to Perform agreement form. No full names are stored with images in photo albums, displays, on the website or on Crescents Ballet School's social media sites.
Access to all Crescents Ballet School computers and the Dance Studio Pro database for registers is password protected. Any portable data storage used to store personal data, e.g. USB memory cards, are password protected and/or stored in a locked filing cabinet.

Social Media Policy
Use of Facebook, Twitter, Instagram, blogging, and other online social-media outlets is commonplace. This policy is intended to provide Crescents Ballet School students, parents and teachers with guidelines to eliminate any confusion concerning the use of social media. It includes but is not limited to:
1. You do not have permission to post or share information of a personal nature about any member of staff, students, volunteers or their families; including but not limited to sharing full names and ages
2. Never share information that compromises Crescents Ballet School and could bring the company into disrepute
3. Never post pictures or videos of other students without consent from the student's parents. It is preferred that you only post photos of your own child
4. Videos recorded during rehearsal periods are strictly for personal use and are not to be shared online
5. Do not share Information, post footage or photos that could damage the self-esteem of any Crescents Ballet School student
6. Never give the impression that they are talking as an official representative or on behalf of Crescents Ballet School
7. Do not post negative comments about competition organisers, judges, other dance schools, events, studios or the performance of others
8. It is preferred that you share official footage/photos posted by Crescents Ballet School on our social media channels from competitions, shows etc. instead of your own to protect the wishes of other students who may have opted out of having their images used. Please be aware that as a company we, Crescents Ballet School, own the copyright to any original footage or photos we post
9. Teachers will not share or post any video or photographs of Crescents Ballet School dancers on their personal pages regardless of whether parental consent is granted. Any images shared will be done so via official channels owned and managed by Ms. Jane Chance and Mrs. Bethany Pettifer
10. Please respect the law around the Defamation Act 2013
Terms & Conditions
These terms and conditions are put in place to ensure that the dance school runs as smoothly and efficiently as possible. Please take a moment to read the terms and conditions. If you have any questions about anything stated below, please contact the dance school.
Statements for each half term are emailed to parents prior to the term starting. You can pay the amount with cash, cheque made payable to "Crescents Ballet School" or with debit/credit card, all card transactions have a convenience fee. All fees must be paid in full within 2 weeks of term commencing. Fees unpaid after 2 weeks will incur a £10 surcharge.
This applies to all classes; we no longer accept weekly payments. The only exception is a prolonged injury of 3 weeks or more where credit will be given for missed lessons. Fees are paid by the term and unfortunately no reduction can be made for absences, whether due to illness/holidays/exams/moving online or weather conditions. If lessons are cancelled by the school due to teacher illness the classes will be rescheduled or credited to the pupil.
Half a term’s written notice is required if a student wishes not to continue attending any class. We will then remove it from your account. A terms fee will be charged if you do not inform us that you wish to leave the class as a place in the class has been held for you for the remainder of the term.
By accepting enrolment in the school, Parents/Guardians acknowledge and accept that dance instruction often involves physical placement by the teacher to help the dancer develop their style.
Ballet, Modern and Tap examinations are available when the dance teacher feels the class is ready to progress at an additional cost. It is not compulsory for your child to take exams if they wish not to. We feel that dance is to be enjoyed and if this is affected by exams then the decision can be made not to participate in exams.
Mobile phones should be turned off or switched on silent when in class.
Please inform us when joining the dance school if your child has any disabilities that you feel we should be aware of. This is to ensure safe and most effective teaching.
The quickest way for us to get information to parents is by sending emails direct. Please ensure you read these fully. For this to be effective your child’s contact details need to be kept up to date on your Parent Portal. From time to time we may want to advertise new classes and events, which we will send to you via email.
Pupils are required to wear the regulation Crescents Ballet School uniform and footwear; uniform lists are posted at the studio. New uniform can be purchased from Miss Jane and all pupils should be in uniform after 2 weeks of attendance. Pupils will be asked to leave lessons if clothing is not regulation. No baggy T-shirts, jumpers or denim shorts to be worn in any lesson. Please wear crossovers if necessary so we can assist with your technique.
All hair, long enough, must be in a bun for ballet and tied up neatly for all other classes. Other arrangements will be made for shows and exams. Due to health and safety it is required that students do not wear any jewellery other than stud earrings.
Please clearly mark your child’s belongings with their name. Items left in the changing areas are left at your own risk. The school accepts no responsibility for the security of valuables. We are not responsible for any missing property although we are happy to keep any lost property for one term to be claimed.
Crescents Ballet School will not tolerate bad behaviour and students/families must have mutual respect for other students/families and their teachers. Dancing is to be enjoyed and we hope to provide a fun and safe environment for everyone. The dance school has the right to ask for a pupil/family to be removed from the class or the school if the pupil is having a negative impact on others learning. If there is a problem, no matter how small, please ring the Principal and let her know so that it can be sorted out. What may seem to be a very minor matter for an adult can be a major problem to a child, but can usually be sorted out quite easily if we are informed. Children and teachers shall act in such a manner to ensure there is no risk to anybody’s safety during classes.
Pupils may on occasions be photographed or filmed during class and performances. By taking part in our school activities you are agreeing to this happening, unless you have otherwise informed the school in writing.
For your child to get the most from their classes it is essential that they attend on a regular basis. Any unnecessary absences should be avoided as this will be detrimental to your child’s progress. Children who have a high level of absence will not be permitted to take part in examinations or shows.
Students may be required to purchase costumes for the schools’ shows or other such events. You will be informed of this in plenty of time and we will try our best to keep costume prices to a minimum. Additional information will be available when show dates are set.
All personal information given to the school will remain completely confidential and only viewed by the owners of the dance school.
All of our teachers have their own insurance, DBS checks, and correct experience and teaching qualification.
Our teachers have first aid kits which are at all classes and shows. In the case of a minor injury, parents give permission for simple medical aid. If an incident is more serious, parents give permission for a doctor/emergency services to be called should the teacher feel appropriate. In more serious incidents attempts to contact parents will be made, but the child’s welfare will be priority.
