Policies, Waivers, and Procedures 2023 – 2024
We believe classical ballet is for everyone. To foster an environment where parents and students know what to expect, we have set guidelines to safeguard the interests of the student, parent, and Keystone Ballet Academy.
Please, read thoroughly. (If you have any questions, please ask).
*NOTE: By registering for any session, intensive, or class at Keystone Ballet Academy, all students, parents, and/or legal guardians show their awareness and acceptance, agreement, and consent of all Keystone Ballet Academy’s Policies, Procedures and Waivers, which may be supplemented and amended from time to time. In that event, a notification will be sent to all active accounts by email.
We use an online studio management software that allows a customer to log on and view their class schedule, account details, make payments, and register for classes, and more.
Tuition -
KBA’s fall-to-spring season begins in September, then finishes mid-June with the Spring Dance Concert.
• Tuition payments are calculated equally over 9-monthly installments, (September to May) as outlined by the school calendar.
• A multi-class discount is calculated for individual students only. Drop-in students are not eligible.
(2) Two classes per week get 5.00 dollars off monthly tuition.
(3) Three classes per week get 10.00 dollars off monthly tuition.
(4) Four classes per week get 15.00 dollars off monthly tuition.
(5) Five classes per week get 25.00 dollars off monthly tuition.
• Summer Session - Not Included.
• Payments are made monthly (September to May) regardless of the actual number of classes per month.
• The yearly, Non-Refundable registration fee and first month’s tuition payment must be paid on the day of signing up.
• $25.00 - per student. $50.00 - per family. (This fee is for studio insurance, music licenses, updating, and keeping studio records).
• The Account Holder (Parent or Legal Guardian, or Adult Student) is responsible for making tuition payments, on time to avoid late fees and/or penalties.
• Returned cheques will result in a $35.00 charge.
• Declined credit card on Autopay will result in a $10.00 charge.
• Tuition is posted on the 25th of each month.
• Payment is due on the 1st of each month.
• Tuition payment not received by the 10th of the month will result in a $10.00 late fee.
• Accounts past due on or after the 15th of the month will result in the student watching class (passive participation) until the student’s account balance is paid in full.
• Accounts past due on or after the 25th of the month will result in immediate suspension from classes until the student’s account balance is paid in full.
• A student’s account must be current to take part in a KBA production, performance, rehearsal, or class.
• Cheque, Cash, or Visa/MasterCard are currently accepted.
• Monthly Autopay (automatic payment) can be set up through your Student/Parent Portal account or at the studio desk.
• If You are on Autopay (automatic payment) you may pay with Cheque, Cash, or Visa/MasterCard before the 1st of the month to avoid your card on file being charged.
• Tuition billed on the 1st of the month is NON-REFUNDABLE.
• Financial Responsibility – I, The Account Holder assume full responsibility for payments of all charges on the student's account. All fees are non-refundable for any reason. Keystone Ballet Academy is unable to divide costs, provide duplicate statements, or otherwise mediate between parents or other parties who may voluntarily or by court order share parental rights, legal guardianship, or other responsibilities for the student's well-being.
• PAYMENT AUTHORIZATION - I hereby, authorize Keystone Ballet Academy to charge my credit card or debit card on file on the 1st of each month or for all services and products related to my family's enrollment in classes and activities at Keystone Ballet Academy including but not limited to tuition, supplemental materials, dedicated events, costumes, concert or year-end show fees, accessories, etc. Fees are subject to change. If I elect to pay annual tuition via monthly installments, I understand that my credit or card will continue to be charged on a monthly, session, or periodic basis unless I notify the studio in writing 15 days (about 2 weeks) before intent to discontinue via email thru the parent/student portal and receive an acknowledged returned response from Keystone Ballet Academy. I understand that it is not sufficient notice to merely tell an instructor or other employee of your intent to discontinue. I have read this entire agreement and understand that I will be held fully responsible for its terms and conditions of service, including a 15-day written notice by email to Keystone Ballet Academy of any intent to discontinue. I understand that once the monthly installments for my monthly tuition, my Year-End Show fee my Year-End Show costume deposit fee, and final costume balance payment have occurred, there will be no refund given if I decide to discontinue. I agree to notify Keystone Ballet Academy immediately of any change in the status of my charge account including but not limited to card expiration, name change, limitation of use, loss, or theft of the card, etc. If the amount charged is refused for whatever reason, I accept responsibility for full payment for the amount charged as well as an NSF fee of $10.00. I fully understand the tuition payment policies and therefore agree that unpaid tuition and all other unpaid items personally charged to my account will be charged to the credit card or debit card indicated above on the 1st of each month.
Summer Tuition -
Our summer classes follow an adjusted tuition payment schedule.
• Including dance intensives, camps, and other special events.
Withdrawal -
School Withdrawal must be completed in-person at the studio office or by e-mail to miss.emily@kba.dance
the class(es) you wish to stop.
• Please be aware that no pro-rating and refunds will be issued due to withdrawing from class.
• Tuition billed on the 1st of the month is non-refundable.
• To withdraw from Keystone Ballet Academy, we must be notified in-person at the studio office or e-mail by the 15th of the month before the next tuition payment (e.g., notify the front studio desk by April 15th for May) to miss.emily@kba.dance the class(es)
you wish to stop.
• Tuition will not be refunded if a withdrawal notice is received after the 15th of the month before your upcoming tuition payment.
• The account holder (Parent or Legal Guardian, or Adult Student) is responsible for paying tuition for all months charged.
• A student will not be considered withdrawn from any specific class until Keystone Ballet Academy is notified.
Additional Payments and Fees -
• School Uniform:
Keystone Ballet Academy does have a school dress code and we will fit you or your child(ren) into the required shoes and apparel.
No un-approved shoes or apparel, without prior permission from the studio owner/director, No Exceptions.
• Picture Day:
All students must participate in their performance group picture. But it is not necessary to partake in individual photos or to buy photos.
A professional photographer will take group and individual pictures at our studio and all payments go directly to the photographer.
Performances and Rehearsals -
Your dancers’ concert performance is the most important day of the year. They work all year long toward improving technique, and their demanding work is clear in our year-end performance.
Signing up for this dance season brings some commitments. All our students are encouraged to partake in the dance concert, which will be in June 2024, with the possibility of performing at a holiday event in December 2023. If you or your dancer do not want to take part in any dance performance, that is fine, we just need to know at the time of enrollment.
*Note: Any student who signs up, and agrees to participate in a KBA event, acknowledges our performance and rehearsal policy, and absence policy by committing to be part of our year-end dance concert. If later the student(s) withdraws from performing, or any class, or Keystone Ballet Academy, entirely. The student’s account will be assessed as a $100.00 per Dance Re-Choreography Fee.
Additionally, you also agree that your student will remain for the entirety of the performance and understand for the safety of our dancers and staff, we will not check out any students during the middle of the show. So please plan to stay and applaud the performers. The Dance Concert is approximately (2) two hours.
• All Students
Rehearsal Attendance Requirements are Mandatory.
A student’s dance concert-related fees (for dance concert participants only) must be current by June 1st.
A student must be enrolled in a monthly tuitioned class to take part in any KBA performance.
A new or current student must have sufficient dance technique and good attendance history as decided by KBA teachers to participate in our yearly dance concert.
Drop-In (Dance-Card) Students are not eligible to participate in a KBA performance event.
• Rehearsal Fee (Level - A and up) is due by January 14th.
Level - A, B, and C, students have a performance rehearsal class in addition to and does not replace technique classes (i.e., technique training continues without interruption).
• Kinder-Barre and Pre-Ballet - (No Fee)
Dance rehearsals are during scheduled class times.
• Performance Fee is due June 1st,2024. The fee is $65 and includes a Spring Dance Concert T-shirt.
This fee is for venue and equipment rental. Also, it helps to keep ticket prices affordable.
• Costume Deposit ($50) is due by November 11th, 2023, per/each costume. Students starting after this date will pay the costume deposit at the time of signing up. (e.g., 1 - Ballet and 1 - Tap Costume ($50+$50) Deposit is $100.00)
• Costume Balance is due by April 13th, 2024, for each costume. The final cost is based on the price of the costume. Each student will be given a new pair of tights for the Spring Dance Concert.
• We order costumes early to ensure they arrive on time. Costume costs differ depending on class level, dance genre, and size of costume ordered. Final Costume prices range from $75 - $125.
• No Costume Credits or Refunds will be given for absences, missed rehearsal classes, and withdrawal from school or performance.
• Dance Concert Tickets: $20.00 - (Ages 12 and up) and $15.00 (Ages 4 – 12). Free (Age 3 and younger)
Cut-off Dates for Participating in the Spring Dance Concert
• Kinder-Barre Students must begin taking classes by the first week in January 2024 (January 6) to participate in the Spring Dance Concert. The registration fee and a $45 costume deposit are due at the time of registration if after November 11, 2023. Rehearsals for the Spring Dance Concert are practiced during class.
• Pre-Ballet Students must begin taking classes by the first week in January 2024 (January 6) to participate in a ballet dance only in the Spring Dance Concert. The registration fee and a $45 costume deposit are due at the time of registration if after November 11, 2023. Rehearsals for the Spring Dance Concert are practiced during class.
• Tip-Tap-Toe students must begin their first tap class by October 21st to participate in class and perform the tap dance in the Spring Dance Concert.
• Level A1 Students must begin taking classes 2X a week and begin by November 11th, 2023, to participate in the Spring Dance Concert. The registration fee is due at the time of registration.
Weather -
In case of extreme weather or an event beyond our control (e.g., power outage, road closure, building closure, etc.) we will Email and Post in the Student/Parent Portal, and post cancellations to our (Keystone Ballet Academy Student/Parent Group) Private Facebook Page families when classes must be canceled.
• KBA allows (2) two snow days a year. More than (2) two snow days, an extra class will be scheduled, but not more than (3) three extra scheduled make-up classes per year.
Punctuality, Makeup Classes, and Attendance -
We strongly encourage students to STRIVE for perfect attendance.
Students with excessive absences may have to repeat their class level.
(Please read the student progress section).
If you know ahead of time that your child will be absent due to holidays/vacations or commitments, please let us know. If your child is too unwell to attend class, we ask that you inform us as soon as you can before their class start time, so we can let the teachers know.
Report any absence promptly in the KBA Student/Parent Portal (web browser or app) or notify the studio desk.
• Kinder-Barre, Pre-Ballet, and Level - A students should arrive 10+ minutes early before class begins to prepare and use the restroom if needed.
• Level - B Class and above should arrive at least 20 minutes early to prepare and warm up before class begins.
• Due to the risk of injury, students in level-A and up may be asked to watch their class if they arrive 10 or more minutes late. This is for your student’s safety.
• Make up missed classes within (4) four weeks of the absence date.
• After (4) four weeks, absences can no longer be made up – the class is given up (forfeited).
• Make-up classes must be of the same level or lower as the missed class.
• No make-up classes are allowed at a higher level than the student is registered for.
• Long-term absences (more than (3) three weeks) without notice will automatically give up a student’s place in class(es) and the Account Holder (Parent or Legal Guardian, or Adult Student) will be responsible for paying any tuition and Point of Sale balances.
• We do not prorate or pause monthly tuition payments if you are absent or on vacation.
• Scheduled non-class dates (i.e., Winter Break or Spring Break, Snow-days, and Holidays do not qualify as an absence, and thus cannot be made up.
• Make-up classes are offered as a courtesy and will not be guaranteed by KBA.
• A Private Lesson is Not a Makeup Class.
Student Progress -
*Please note that teaching methods and standards vary from school to school. For reasons such as these, the number of years (in any dance genre) a student has danced is not a deciding factor.
The studio director and teachers decide the precise level of class for each student.
• Placement:
All New Students are evaluated initially during their free trial/placement class. A new student will be placed in a class level that is consistent with the teaching standards of Keystone Ballet Academy to ensure the correct development of technique and optimum growth.
New students aged 4 – 6 yrs. old are evaluated during their free trial class AND subsequent classes for reasonable behavior. Teachers have the responsibility to keep their classes under control and ensure a safe and fun learning environment. Therefore, a teacher has the authority to dismiss any student who will not cooperate and/or is distracting the rest of the class, and request the child try again in (6) six months with (1) one free trial class.
• Attendance:
A student’s regular attendance in class is especially important to their peers and teachers. Not only do absences, and at-home practice affect a dancer’s rate of progress, it affects the class’s momentum for learning technique, and choreography routines for performance, and they also undermine the “True Grit” principles (i.e., perseverance, passion, and commitment) we work hard to foster in each age group.
If you know ahead of time that your child will be absent due to holidays/vacations or commitments, or if your child is too unwell to attend class, we ask that you please enter it through the customer portal - located under Attendance or email us, or call us - located under Contact Studio, before the start of class time, soon as you can, so we can inform the teachers.
• Advancement:
Progression to a higher level is based on technical ability and skill ability. Also, Students learn and progress at different rates, and this is further affected by factors such as class attendance, effort, and attitude. Students progress to the next level with teacher recommendations.
Your child’s teacher and the director are happy to discuss their progress and answer your questions. Please be respectful of other students’ time and do not interrupt or delay a class that is in session. Send an email to miss.emily@kba.dance to set up a time to talk.
• Pointe Work:
Dancing in pointe shoes is the dream and goal of many students in ballet class. Dancing on pointe is quite different
than dancing in flat ballet shoes. Proper training to be considered for pointe involves technique classes 2X a week for 3 years for students ages 8 – 11 because the bones of the feet are not fully developed. Children typically begin pointe by age 11. Teens and adults have fully developed bones and may start out 1X a week the first year but then must commit to 2X a week for 2 years to begin pointe.
Dates and Events -
We have a Student/Parent Portal app for your convenience, which allows parents, guardians, and adult students to view a student's class schedule, account details, make payments, and register for classes, and more.
• It is a Parent’s, Legal Guardian’s, and Adult Student's responsibility to check regularly, their email, our Facebook page, and in-studio postings to ensure they are informed of all school activities, rehearsal times, class schedules, and dates KBA is open or closed.
• KBA will post such notices in the studio, via e-mail or in the Parent/Student Portal and on our Private Student/Parent Facebook page.
Communication and Announcements -
All communication will occur firstly via email and Private Student/Parent Facebook Page, then our School Parent/Student Portal and In-studio.
All other announcements will occur secondly, via E-mail, Parent/Student Portal (Bulletin Board)/App (News & Notes), and In-studio, on our Private Student/Parent Facebook Page and our Website: kba.dance.
Please update your account to reflect your current email. It is the responsibility of the parent/legal guardian, or adult student, to regularly obtain and be aware of dates, and other posted information - as it is our responsibility to communicate and announce information in a timely manner.
Video and Photograph Release -
Keystone Ballet Academy is hereby granted permission to take images via photographs and/or video of enrolled students and families that may be used to document the activities of KBA. The images may be used in promotional materials, social media accounts, and the website of Keystone Ballet Academy.
Permission is also hereby granted for Keystone Ballet Academy to copyright such images in its name.
All images are for the exclusive use of Keystone Ballet Academy and are property of the same. If any parent or guardian does not want their or their child's image used, they must notify and inform the office via email at the time of registration.
• Creative Rights:
All choreography used for performances is the intellectual property and creative work of Keystone Ballet Academy. Use of choreography without verbal or written permission by the Founder, Artistic Director, and Choreographer of Keystone Ballet Academy is prohibited.
Any original dance choreography learned by a Keystone Ballet Academy student, or a Keystone Ballet Academy guest student is the sole intellectual property of Keystone Ballet Academy’s Owner and Artistic Director, and may not be taught, copied, or used for any activity outside of Keystone Ballet Academy. Permission must be granted by the Studio Owner and Artistic Director for any student to use Keystone Ballet Academy choreography at any venue where the member is not with the Keystone Ballet Academy or acting on behalf of Keystone Ballet Academy.
This includes performance, videotaping, and distribution of online posting (including but not limited to YouTube, Facebook, Instagram, Snapchat, Twitter, Tik-Tok, etc.,) and photography used for advertisement. When using ALL forms of social media, students, parents, and/or legal guardians must adhere to this Keystone Ballet Academy social media policy.
• Social Media Policy:
Should you wish to engage on social media while identifying as a Keystone Ballet Academy dancer, parent and/or legal guardian, volunteer, or employee, you may only do so with integrity, and respect, and adhere to our privacy and confidentiality policy. The information must not damage in any way Keystone Ballet Academy and its members’ reputations or bring disrepute.
You must be clear and ensure any information is factual and accurate. Any content revealing or referring to sensitive studio information is not allowed to be shared online. This is to clearly define our expectations and guidelines for members engaging in social media that relates to their studio or members.
Student Drop Off and Pick Up -
• It is a violation of West Hazleton, PA local ordinance as well as a safety hazard to stop (double-park) at the curb in front of the building or park in any handicap spot without a disability placard.
• Those who stop (double-park) at the curb or park in any handicap spot without a disability placard will be asked to move by KBA or another business building tenant, or a CAN-BE/CAN-DO member.
• Please Park in designated spaces and walk your child to inside the studio.
• Please Park in designated spaces and pick up your child inside the studio.
• For the Safety of Your (10 –17 year aged) Child, Students MUST WAIT INSIDE the Building After Class, and Notify a teacher or the Office Manager when their ride has arrived Before Exiting the Building.
• Small Children less than 10 years of age Must Be Escorted to and From the Studio.
• Please Do Not encourage your dancer to find you or your car in the parking lot.
• Never leave any under age (-18) child in the parking lot.
• If unexpectedly, you must pick your dancer up early from class, please notify the office manager a.s.a.p.
No parent or family member is allowed to disrupt a class in session.
• All CHILDREN in the studio who are not registered STUDENTS MUST ALWAYS BE SUPERVISED by an adult, or young KBA dancers waiting for their class to begin MUST ALWAYS BE SUPERVISED by an adult.
• No Running, No Yelling, No Horseplay in Hallways, Bathrooms, and Common Areas (i.e., Kitchenette etc.). Also, No Knocking or Banging on Hallway Walls and Office Doors.
• Keystone Ballet Academy is NOT RESPONSIBLE for any unsupervised child.
Medical Emergencies -
I fully understand that Keystone Ballet Academy instructors, agents, and employees (“KBA Staff”) are not physicians or medical practitioners of any kind. With the above in mind, I/we hereby release and grant permission to the KBA Staff to render temporary first aid to my/our child in the event of any injury or illness, and if deemed necessary by the KBA Staff to call a doctor to seek medical help, including transportation by an KBA Staff member, whether paid or volunteer, to any health care facility or hospital, or the calling of an ambulance for said child should the KBA Staff deem this to be necessary.
Autopay (Optional) -
Autopay makes paying tuition simple and fast. You can use a credit card or debit card. Enter your payment details and we will automatically charge your card on file.
Here are some things you should know before signing up.
• A 3% convenience fee will be added to all purchases or payments made by credit card.
• Monthly Autopay can be set up in the Student/Parent Portal or in-person at the studio desk.
• Any account on Auto-Pay means that your credit card on file will automatically be charged on the 1st of each month for any payment and fees due that month.
• Your account will not be charged when you sign up. It will be charged when your next tuition payment comes due.
• We send notices out on the 25th of each month before tuition is due.
• You will receive a reminder email on the 25th of the month prior to next month’s tuition Auto-Payment on the 1st day of the month before tuition is charged to your credit card account.
• You will receive another reminder email on the 1st day of the month tuition is due, today.
• You will receive a receipt of payment/confirmation email each month after the auto-draft.
• You may pay with Cheque, Cash, or Visa/MasterCard in advance at KBA before the 1st of the month to avoid your card on file being charged. (This means that your account balance will automatically be charged to your Credit-Card on file the 1st of each month unless paid in advance).
• The Account Holder (Parent or Legal Guardian, or Adult Student) is responsible for paying tuition on time to avoid late fees and/or penalties, and it is the account holder’s responsibility to immediately update student information (i.e., contact info, payment info and medical info...).
• To be removed from the Auto-Pay program please contact the studio by the 15th of the month prior to the next tuition payment (e.g., notify the front studio desk by April 15th for May).
• Financial Responsibility – I, The Account Holder assume full responsibility for payments of all charges on the student's account. All fees are non-refundable for any reason. is unable to divide costs, provide duplicate statements, or otherwise mediate between parents or other parties who may voluntarily or by court order share parental, guardian, or other responsibilities for the student's well-being.
Private Lessons -
This policy applies to all Keystone Ballet Academy students, and guest students that have booked a private lesson with any Keystone Ballet Academy teacher - No Exceptions.
~The cancellation policy allows us to cover the time preparing for the private lessons in advance.
We respect that your time is valuable, and we appreciate that you understand that ours is too.
• All Private Lessons Must Be Cancelled MORE THEN 24 HOURS via E-MAIL before their scheduled start-time to avoid a Per Student late cancellation fee of $10.00 (30 min. appt) or $10.00 (45 min. appt) $15.00 (60 min. appt) or $20.00 (90 min. appt).
• Any private lesson cancelled LESS THEN 24 HOURS of the scheduled start-time will be charged the full appointment cost.
• Cancellations Not Accepted by Phone Call, or Text, Messenger, or Voicemail – NO EXCEPTIONS.
• EMAIL ONLY FOR PRIVATE CANCELLATIONS THRU THE PARENT PORTAL APP, UNDER MORE, THEN CONTACT STUDIO, SCROLL TO BOTTOM OF PAGE, CHOOSE TEACHER IN DROP-DOWN MENU.
• When canceled early you will be credited.
• The credit can only be applied towards future private lessons – Not Tuition - NO EXCEPTIONS.
• A No-Call/No-Show is Realized 10-minutes Past the Scheduled Appointment Time.
• An Absentee of a scheduled appointment time will be charged the full appointment cost + Plus a No-Call/No-Show Fee of $10.00 (30 min. appt) or $10.00 (45 min. appt) $15.00 (60 min. appt) or $20.00 (90 min. appt) Per Student.
• All Pre-Paid, Recurring, Packaged/Bulk, and Group Appointments are Non-Refundable - NO EXCEPTIONS.
• Privates are paid with cash or cheque to the teacher.
• A Private Lesson is Not a Makeup Class.
• Recurring Privates are scheduled in the studio.
A teacher can deny a private lesson or end regularly scheduled private lessons with students for any reason.
I am aware that a copy of the Keystone Ballet Academy Handbook is available on the website at kba.dance and that this information is also accessible in the office.
My signature is proof of my intention to execute a complete and unconditional waiver and release of all liability pursuant to the terms herein, and agreement as to all terms and conditions contained above. I am of lawful age and competent to sign this affirmation.
I HAVE FULLY INFORMED MYSELF AS TO THE CONTENTS OF THIS RELEASE AND HAVE READ ALL THE INFORMATION.
I am aware that I can view policies of Keystone Ballet Academy on the Parent Portal and/or in the studio.
My electronic signature is proof of my intention to execute a complete and unconditional waiver and release of all liability pursuant to the terms herein, and agreement as to all terms and conditions contained above. I am of lawful age and competent to sign this affirmation.
