Westland Dance Co. Ltd. (WDC) Policies
Parent Conduct:
Parents are expected to respect all Westland Dance Co. Ltd. teachers, staff, dancers, Directors and other parents. Parents will not exhibit a negative attitude or an action that is intended to provoke hostility.
Parents are expected to supervise children when they are not attending class at Westland Dance Co. Ltd.. Damages caused by unsupervised children will be the responsibility of the parent.
Parents are expected to be aware of studio activities including, but not limited to, parent watch days, recital, costume fittings, photo days, extra classes, competitions, and dates the school is closed.
Parents are expected to inform the Westland Dance Co. Ltd. office of any email, phone or address changes.
Student conduct:
Students are expected to respect all Westland Dance Co. Ltd. teachers, staff, parents, Directors and other students. Students will not exhibit a negative attitude or an action that is intended to provoke hostility.
Students are expected to arrive to class on time. If a student will be absent from a class, Westland Dance Co. Ltd. must be made aware and a reason provided. When a student has missed two (2) classes, a warning will be issued to the student and parent. If a student misses two (2) classes after the warning has been given the Directors will be notified.
Westland Dance Co. Ltd. reserves the right to terminate lessons in the event that repeated absences are affecting the class and it will be the decision of the Directors whether a refund will be issued. Westland Dance Co. Ltd. reserves the right to pull a routine from competition, without refund/credit, if there have been attendance issues and the teachers feel the dancers are not prepared.
Students must wear the appropriate dancewear and shoes to class as provided in the Westland Dance Co. Ltd. Required Dancewear and Footwear List. Failure to follow the dress code may result in a student being asked to sit out of class. Jeans and outdoor shoes are not permitted in the studios. Jewellery is not permitted, with the exception of small stud earrings. Long hair must be tied back.
Students will arrive to class prepared to learn. Cell phones will not be allowed during class time and no gum will be allowed in the classrooms. Only water will be allowed in the classrooms, no juice or pop is allowed.
Leveling will be at the discretion of the Directors These levels are chosen by our Directors/instructors according to previous experience and current skill level. These levels have been structured by ADAPT tap and Jazz, RAD ballet levels, Acrobatic Arts and Acrobatique levels. Levels are also chosen to suit an instructor's vision or choreography for the season. Regardless of what level your child is placed in, he/she will always be challenged and taught level appropriate content to harness and continue their growth as a dancer. We reserve the right to move dancer’s around to the levels we see best fit according to the above guidelines. Please respect the decisions made by our team.
Registration policies:
All transactions through Westland Dance Co. Ltd. will be charged 5% GST.
A non-refundable fee of $25.00+tax/family is required yearly at time of registration.
All students must fill out a registration form completely and have either a Visa or Mastercard on file for automatic withdrawal. Students may register for a class mid-season as long as there is sufficient time to get a costume/register for competitions/etc. This is at the discretion of the Directors. Tuition will not be prorated for late registrations.
Tuition and fees:
Rocky Mountain House session runs 9 months with tuition payments due the 1st of each month from End of August to mid May. Additional payments will be due according to a separate fee schedule as outlined below. Rimbey session runs 8 months with tuition payments due the 1st of each month from September to April. Additional payments will be due according to a separate fee schedule as outlined below.
Tuition must be paid by automatic credit card payment through your online parent portal, or in studio via cheque, cash, or credit card in full. Tuition will be deducted from your credit card on the 1st day of each month for tuition, and extra fees on the specified date below. Any outstanding fees (full account balance) will run with the next auto-pay. We accept Visa & Mastercard for your convenience. If enrolled in our auto-pay system, or paying in full via credit card, there will be a Credit card processing fee charge by the merchant of 3%+ $0.30 per transaction. Payment in full will have no additional administration or processing fees if paid by cash or cheque.
Extra fees Payment Schedule:
Registration fee of $26.25/family is due upon registration
PREF fee *Prop/Recital/Events/Facility fee* of $52.50/student is due upon registration
Competition fees of $105.00/competitive class is due October 15th, 2020
Costume fees of $105.00/class is due November 15, 2020
Choreography fee of $10.50/class is due February 1, 2021.
Competition fees: $100 +tax/class if you are a new student. Competition credits will be used this season for currently enrolled students. Competitions have informed us that they may need to increase their pricing for the 2021 competition season, if so, there may be extra fees for students with credits.
PREF Fees: This fee goes towards upkeep of Christmas costumes, hall rental for Christmas concert rehearsal, all competitive and recreational rehearsals, event decor, hiring extra crews for shows and events, props and prop construction, show organization, music editing, year end awards, videographers, photographers and general upkeep.
Costume Fees: $100 +tax/class if you are a new student. We will be reusing costumes as much as we can this season from last season’s unused costumes. We will address sizing issues when needed. Any new costumes/alterations/modifications needed will be the financial responsibility of the student.
Choreography fees: $10 +tax/routine
12-week/6-week programming:
A non-refundable fee of $26.25/family is required yearly at time of registration.

Auto Pay- 0.03% fee + $0.30/ transaction charged by the merchant

Late fees and Non-sufficient funds:
$25.00 will be assessed for declined credit cards after the 15th of the month. Recurring declined cards will be subject to a Cash Only basis with a late fee of $25 assessed after the 15th of each month for each offense.
All NSF (non-sufficient funds) cheques or payments will be charged a $25.00 administration fee. The amount of the cheque plus the $25.00 must be paid in full within one (1) week. Failure to pay may result in termination of classes.
Westland Dance Co. reserves the right to not accept cheques or pre-authorized payments from a person who has had a payment come back as NSF.
Withdrawal and Refunds:
A Withdrawal Form is required and notice must occur before the 15th of the second month (October) to discontinue automatic payments.
There are no refunds for classes already given.
Westland Dance Co. Ltd. reserves the right to terminate lessons to any student without notice.
In the event a costume has been ordered, there will be no refund issued.
No refunds for attire or costumes will be issued.
No refunds for competition fees will be given once the payment has been made from WDC to the competition.
12-week/6-week:
A Withdrawal Form is required to discontinue classes. Refunds will be given on a case-by-case basis.
Westland Dance Co. Ltd. reserves the right to terminate lessons to any student without notice in which a refund for unused lessons will be given.
In the event a costume has been ordered, there will be no refund issued. No refunds for attire or costumes will be issued.
Class Cancellation Policy:
Classes may be cancelled due to teacher illness, weather conditions, or any other reason the Directors sees as acceptable. If school buses have been cancelled the studio will make any closure decisions and do their best to alert families in a timely manner. Cancellations will be posted on the Westland Dance Co. Ltd. Facebook page, Instagram page, as well as e-mailed out as soon as the information is received. Attempts will be made to contact student/parents to inform them of the cancellation. No Refunds, only credits will be given for individual class cancellations.

Complaints:
Complaints can be made by any teacher, staff, dancer or parent. Complaints must be made in writing and submitted to the Directors. The Directors will review the complaint in a timely manner. The Directors may choose to handle the complaint however they see fit and do not have to disclose the results to the complainant.

Ltd.’s Parent portal. Westland Dance Co. Ltd.’s office personnel have access to your personal information only to manage the studio business.
Westland Dance Co. Ltd. will access your personal information and/or share it with third parties only for the following purposes: (i) as needed for studio business; (ii) if required to do so by law or to comply with legal process; or (iii) to protect the rights, property, or personal safety of the public.

Release and Waiver of Liability
PLEASE READ THIS CAREFULLY. THIS IS A LEGAL DOCUMENT THAT AFFECTS YOUR AND YOUR CHILD’S LEGAL RIGHTS.
This is a Release and Waiver of Liability (the “Release”) executed on this 1st day of June, 2020 by the “Participant”, in favor of Westland Dance Co. Ltd. (WDC), a Legal Corporation, and its contractors, employees and agents.
Participant desires to participate in certain dance classes and activities of Westland Dance Co. Ltd. and assures that Participant is in proper physical condition to take part in dance classes and activities at Westland Dance Co. ltd. Participants understand that there are risks of physical injury and/or illness associated with, arising out of, and inherent to dancing and activities associated therewith. In recognition of this acknowledged risk of injury and/or illness, and in consideration of being accepted into such dance classes or activities Participant hereby freely, voluntarily and without duress executes this release and waiver of liability under the following terms:
1. Participant does hereby release and forever discharge and hold harmless Westland Dance Co. Ltd., its Owners, Contractors and employees for any and all claims or demands for damages, loss of services, costs and expenses in any way resulting from any and all injury and/or illness to Participant or property of Participant arising directly or indirectly out of Participant’s participation in any and all activities of Westland Dance Co. Ltd. including, but not limited to, dance classes, competitions, festivals, recitals, travel to and from competitions, festivals, and recitals and any and all activities associated or performed in conjunction with Westland Dance Co. Ltd..
Participant understands that this Release discharges Westland Dance Co. Ltd. from any liability or claim that the Participant may have against Westland Dance Co. with respect to any bodily injury, personal injury, illness, death, or property loss or damage that may result from Participant’s activities with Westland Dance Co. Ltd., whether caused by the negligence of Westland Dance Co. or its owners, employees, contractors or otherwise. Participant also understands that Westland Dance Co. Ltd. does not assume any responsibility for or obligation to provide financial assistance or other assistance, including but not limited to, medical, health, or disability insurance in the event of injury and/or illness.
2. Indemnification
Participant agrees to indemnify and hold forever harmless Westland Dance Co. Ltd., its owners, employees and contractors from any and all injuries, illnesses, damages, costs and attorney’s fees whatsoever which may arise out of the Participant’s participation in any Westland Dance Co. Ltd. activity or presence on the premises of the dance studio.
3. Medical Treatment
By checking the box or signing below, participant consents and authorizes the employees, representatives and contractors of Westland Dance Co. Ltd. to obtain necessary medical treatment or hospitalization or such other care necessary for the health and welfare of Participant, and Participant agrees to be responsible for and pay the cost of such medical treatment or hospitalization.
By checking the box or signing below, participant hereby authorizes Westland Dance Co. Ltd., its employees and contractors to consent to x-ray examinations, anesthesia, medical or surgical diagnosis, and or treatment and hospital care to be rendered to Participant pursuant to the advice of a physician, surgeon or dentist licensed under the laws of Province of Alberta. Participant does hereby release and forever discharge Westland Dance Co. Ltd. from any claim whatsoever which may arise or may hereafter arise on account of any first aid, treatment, or service rendered in connection with Participant’s participation in Westland Dance Co. Ltd. activities or with the decision by any representative or agent of Westland Dance Co. Ltd. to exercise the power to consent to medical or dental treatment as such power may be granted and authorized herein.
4. Insurance
Participant understands that, except as otherwise agreed to by Westland Dance Co. Ltd. in writing, Westland Dance Co. Ltd. does not carry or maintain health, medical or disability insurance coverage for any participant. Participant understands that it shall be Participant’s sole responsibility to obtain his or her own medical or health insurance coverage for Participant.
5. Photographic Release
Participant does hereby grant and convey unto Westland Dance Co. Ltd. all right, title and interest in any and all photographic images and video or audio recordings made by Westland Dance Co. Ltd. during Participant’s participation of any and all Westland Dance Co. Ltd. activities, including, but not limited to, any royalties, proceeds or other benefits derived from such photographs or recordings, and further consenting to use Participant’s photo,videos, or audio recordings or likeness in or on any form of advertisement for Westland Dance Co. Ltd. or a Westland Dance Co. Ltd. sponsored event.
6. Choreography ownership and online sharing
Participant understands that any choreography provided by Westland Dance Co. Ltd.'s teachers is the property of the teachers and/or Westland Dance Co. Ltd.. Participant understands that this choreography cannot be replicated without permission from the teachers and/or Westland Dance Co. Ltd. This pertains to all group dances as well as duets and solos. Participant understand that the teachers may modify choreography as they see fit and may accommodate replacement dancers as required. Permission is also hereby granted for Westland Dance Co. Ltd. to copyright such choreography in its name.
7. Online Sharing
Participants will not post choreography publicly online on any social media or online platform including, but not limited to Facebook, Youtube, Instagram, TikTok, Snapchat Etc. without the expressed permission of Westland Dance Co. Ltd. Photos or Videos taken from watching weeks, performances, or rehearsals may NOT be posted online without the consent of the Directors/Westland Dance Co. Ltd. You may not post photographs / videos that feature Westland Dance Co. Ltd. dancers other than your own online without the proven consent of their parent/guardian. Identifying information of any featured minors - including names, ages or location - must be removed when posting on Social Media.
8. Logo use
Participant understands they are not to use Westland Dance Co. Ltd.’s logos, name, or graphics, in part or in whole, for any personal merchandise or property at any time without expressed permission from Westland Dance Co. Ltd.
9. Miscellaneous
This Release and Waiver of Liability shall be binding on the heirs, successors and personal representatives of the Participant. Participant expressly agrees that this Release and Waiver of Liability is intended to be as broad and inclusive as permitted by the laws of the Province of Alberta, and that this Release and Waiver of Liability shall be governed by and interpreted in accordance with the laws of the Province of Alberta. Participant agrees that in the event that any provision herein shall be held to be invalid by any court of competent jurisdiction, the invalidity of such provision shall not otherwise affect the remaining provisions of the Release and Waiver of Liability which shall continue to be enforceable to the full extent permitted under the law.
I have read the foregoing Release and Waiver of Liability and acknowledge that the provisions are contractual and not a mere recital and I understand that I am bound by the terms hereof by placing my signature herein. I also understand and agree that these waivers and policies may change at anytime and a new signature may or may not be required.
If Participant is a minor, the parent having legal custody and/or the legal guardian of the minor hereby represents and warrants that they have the legal authority to bind the Participant and such parent or guardian executes this release on behalf of the minor and the parent or guardian, and this release is binding on the child and such parent or guardian. I understand the financial policies, the miscellaneous notes, and my responsibility as Parent or Guardian or Student. I understand that registration isn’t complete unless this form is completely filled out and signed.
