FEE POLICY

1. 2024 FEE STRUCTURE

All fees are billed per term. All fees (as set out below) include GST.

Dance Fees:
    • Tiny Twinkles: $100
    • 1 Class: $160
    • 2 Classes: $300
    • 3 Classes: $420
    • 4 Classes: $520
    • 5 Classes: $600
    • 6/more Classes: $650
Family Discounts: 2nd child in the family receives a 50% discount, 3 or more children in the family are free.

Acrobatic Fees:
    • $16.50 per class / $165 per 10 week term.
    • No family discounts, or other discounts, apply.

2. ANNUAL FEES

The following Annual Fees, are payable per child (all fees include GST):

Registration Fee of $25 (payable in Term 1 or upon enrolling)

Insurance Fee of $22 (payable Term 3)

Concert / Breakup Fee of $40 (payable Term 4): This fee is designed to contribute towards:
    • Venue hire of the professional venue – Ipswich Civic Centre for the concert;
    • Venue hire of the professional venue – Ipswich Civic Centre for the dress-rehearsal practice;
    • Civic Centre staff for concert and dress-rehearsal – including sound, lighting and ushers
    • End of year participation Trophie/Medal
    • End of year break-up party costs;
    • End of year mini-summer school costs;
    • Teachers’ time at concerts & associated rehearsals.

Eisteddfods/performance fee: $50: This fee is designed to contribute towards:
    • All extra tuition & extra practice hall hire;
    • All extra rehearsals including Easter Holidays;
    • Music copyright;
    • Teachers’ time at eisteddfods;
    • Eisteddfod competition entry fees for 3 eisteddfods;
    • Eisteddfod competitors passes for all eisteddfods;
    • Unlimited tickets for family & friends to attend the mid-year Eisteddfod Concert;
    • This costs of the administrative work associated with sourcing costumes;
    • The costs of washing & mending costumes each year.


3. OTHER EXPENSES

Group/Performance Classes: If you enrol in Group /Performance Classes there will be additional costume expenses.

Annual Dance Examinations: If you choose to sit Annual Dance Examinations, there will be exam entry fees and associated expenses.


4. THINGS TO NOTE

• The Dance Fees for terms 1, 2, 3 and 4 are fixed per term and will be the same irrespective of the number of weeks in a term, public holidays etc.


5. WHO IS CONSIDERED TO BE THE 1ST, 2ND, 3RD OR 4TH CHILD IN THE DISCOUNT POLICY?

• The 1st child is the child with the dearest dance fees;

• The 2nd child is the child with the second dearest dance fees; and

• The 3rd and 4th children are children with the cheapest dance fees.


6. WHAT IS A ‘CLASS’?

A ‘class’ is defined as any lesson (including a technique class, group/performance class and/or singing class) that is between 30 minutes - 1 hour in length.

If you have a class that is more than 1 hour in length (for example, a group class that goes for 1hr 30 minutes), that is counted as 2 classes when calculating your fees.

Please note: This definition does not apply to Tiny Twinkles (which has its own fee structure).


7. CANCELLATIONS & REFUNDS:

Acrobatic Classes: If Helen Clark School of Dancing cancels one or more of your acrobatic classes, you will be entitled to a credit (or refund if specifically requested) per class cancelled (unless you attend a makeup lesson, where offered).

Dance Classes: If Helen Clark School of Dancing cancels one or more of your dance/singing classes, you will be entitled to a credit (or refund if specifically requested) per class cancelled, provided you meet the following criteria:

1. Because of the cancellation, your total number of classes per week is 5 or less; and

2. No makeup lesson was offered (irrespective of whether you attended the makeup lesson or not); and

3. If the cancellation was due to Helen Clark School of Dancing participating in an eisteddfod or competition (for any age group), you are not in any of the performance teams.
    NOTE: On occasion Helen Clark School of Dancing has to cancel classes for 1 age group because the school is at a competition / eisteddfod for the same age group or another age group. If you also participate in the performance teams (irrespective of whether it was your age group at the eisteddfod/competition that caused the cancelled class), you will not receive a credit/refund for the cancelled class. The rationale for this, is that your child will (at some stage) also be participating in that competition and utilising teacher time (with organising, practicing and dressing students etc) at the eisteddfod sufficient to make-up the cancelled class or classes.
Note:

• If you are eligible for a refund/credit, it will be paid at an apportioned rate of your child’s fee per the fee structure. NOTE: There are no dance refunds available for the 3rd plus children in a family, as they do not pay dance fees.

• Amending the type of class (i.e. changing a class from a technique class into a group class) will not amount to a ‘cancellation’ unless your child no longer receives a benefit from that class and has been told not to attend that day.

• If you “change your mind” and/or pull out of 1 or more Dancing, Acrobatic or Singing classes part way through a term, you are not eligible for a credit/refund of the balance of your term fees. You enrol in classes, on a term to term basis, at your own risk.

Missed Classes:

• If you miss a lesson due to illness, school camps or other commitments, no refund/credit will be available.

• If you miss a series of lessons due to hospitalisation / serious illness (such as a broken leg etc), refunds/credits may be awarded at the discretion of the dancing school.

• Public holidays have been factored into the existing fee structure. Accordingly, no refunds will be awarded for public holidays.


8. TERM DATES

• Term 1 – 22/1/24-28/3/24
• Term 2 – 15/4/24-21/6/24
• Term 3 – 8/7/24-13/9/24
• Term 4 – 30/9/24-22/11/24


9. AUTO-PAY

In order to make life easier for you, we use ‘auto-pay’ for tuition payments. With auto-pay, term fees are automatically deducted from your debit/credit card, at regular intervals without any additional fees for you.

(i). How does Auto-Pay work?

Auto-pay is simple! It breaks down your fees into increments and charges them on set days. For example:

• Your term fees are divided into 25% increments and processed 4 times per term (see the dates below);
• Your Summer School fees are charged once (in their entirety) on Thursday 19 January 2023;
• Your costume fees will be divided into 50% increments and processed 2 times in term 2 (see dates below).

The processing dates are as follows:

For example: If your term 1 fees are $650, $162.50 is automatically deducted from your credit /debit card on the first 4 dates listed above (being 1 February, 15 February, 29 February and 14 March).

NOTE: The above information does not include exam payments and any other payments. Further information regarding any such payments will be provided as they arise.

(ii). What if my payment is declined?

Please ensure you have sufficient funds in your account on the due date. You will be advised of any payments that decline, and the payment will automatically run again 48 hours later (at no extra charge to you). However, accounts that decline a second time, will have a dishonour fee of $22 levied.

(iii). Do I have to use Auto-Pay work?

Auto-pay is not compulsory. You are more than welcome to still pay your bill by either:

• Electronic transfer at the start of each term (i.e. prior to the first auto-payment date for each term/ expense); or

• Regular electronic transfer payments (known as an alternative payment plan).
    NOTE: Any alternative payment plan must be approved by Helen Clark School of Dancing prior to the first auto-payment date for each term/expense. A number of our families choose to pay their bills by alternate payment plans and we are more than happy for this to continue.
However, in order to enrol in Dancestudio-Pro you must set up auto-pay (even if you don’t use it) and pay a registration fee of $22 per child at the time of registration.
