Welcome to Scorpion Allstars! To ensure a positive and enriching experience for all members, athletes, parents, and spectators, we have established the following Code of Conduct. Your adherence to these guidelines contributes to a harmonious environment within our community.

- - FINANCIAL SECTION - -
REGISTRATION PROCESS:
Registration fees must be settled on or before the invoice due date.

CANCELLATION POLICY:
Written notice of class cancellation must be provided by the Friday of week 2 of the current term. Failure to do so implies an agreement to cover the entire term's fees.

BULLYING POLICY:
Bullying is strictly prohibited and leads to immediate dismissal. Financial obligations continue until the term concludes for dismissed individuals.

TIMELY PAYMENTS:
Fees are to be paid punctually. A late fee applies to three-day overdue direct debit payments. Non-payment for three consecutive periods results in restricted attendance.

COMPETITION FEES:
All competition fees must be settled by specified due dates for attendance eligibility at events.


COLLECTIONS AND OUTSTANDING ACCOUNTS:
Scorpion Allstars may involve a collections agency for outstanding accounts, with the responsible party bearing associated costs.

PRIVATE CLASS FEES:
Private class fees are to be paid prior to your booking. Failure to attend your scheduled private session will result in the forfeiture of the fee, and rescheduling will not be available.

VOUCHERS AND REFUNDS:
Active and creative kids vouchers are accepted towards class fees ONLY. No refunds or credits for class absences.

PUBLIC HOLIDAYS AND TIME OFF:
Public Holidays and scheduled days off are prorated in tuition fees and continue as normal.


- - SOCIAL MEDIA & PRIVACY - -
CLASS ATTENDANCE AT OTHER VENUES:
Enrolled individuals are prohibited from taking classes at other gyms/studios to prevent coaching conflicts.

MEDIA RELEASE AUTHORISATION:
Participants grant Scorpion Allstars permission to use photos and videos for promotional and social media purposes.

COMMUNICATION CHANNELS:
Coaches must be contacted via Scorpion Allstars email, phone, or official social media channels. Coaches MUST NOT be contacted via their personal contact details.

STAFF SOCIAL MEDIA INTERACTION:
Adding/friending/following staff members on personal social media is NOT allowed. Negative or inappropriate posts may lead to dismissal.

APPROPRIATE SOCIAL MEDIA CONDUCT:
Members are required to maintain a professional demeanour on social media, including but not limited to posts, comments, photos, videos, reviews, when referencing or associating with Scorpion Allstars. This includes refraining from sharing any inappropriate or
provocative material.

PHONE USAGE DURING CLASS:
Phones are STRICTLY NOT ALLOWED and must be placed on the reception desk into the device box. Athletes are required to have their phones off or on silent. Parents are to contact coaches directly should they need to.


- - INJURY, ILLNESS & MEDICAL - -
INJURY NOTIFICATION:
Coaches must be informed of any injuries before a training session. Serious injuries require a discussion on recovery details with the coach.

DOCUMENTATION FOR INJURIES:
A detailed physiotherapist report/certificate is mandatory for injuries preventing an athlete's participation unless the injury is apparent.

ATTENDANCE DURING RECOVERY:
Injured athletes must attend classes to observe and stay informed about any changes to routines.

SOCIAL MEDIA AND INJURY REPORTING:
Any injuries occurring at Scorpion Allstars are not to be disclosed on personal social media platforms.

RESPONSIBILITY FOR REHABILITATION:
Parents are responsible for seeking professional advice and proper rehabilitation for their child's injuries, with regular communication with the coach on progress.

REPLACEMENT AND RETURN:
Scorpion Allstars may replace an athlete if they are unable to train or compete due to injury. A medical clearance form is required for injuries requiring over three weeks of absence.

MEDICAL INFORMATION:
Athletes must disclose medical requirements/conditions, and necessary medical needs must be brought to class.

TRAINING CLEARANCE:
Athletes must be medically cleared to continue training after a significant injury, with a medical certificate and a signed medical clearance form from the parent/guardian.

AMBULANCE COVER:
Ambulance cover is not included in the athlete's insurance. Scorpion Allstars may contact an ambulance on behalf of an athlete, and parents will be notified immediately of any associated
costs.

- - UNIFORM & COPYRIGHT - -
MERCHANDISE POLICY:
The sale, reproduction, or production of Scorpion Allstars clothing or branded items is strictly prohibited without prior permission. This restriction encompasses the creation of products that reference the Scorpion Allstars brand. Ideas for merchandise can be proposed and discussed with the staff, and any authorised merchandise will be exclusively created and sold through Scorpion Allstars.
This prohibition extends to the development of personal items such as 'supporter shirts' and
training shirts.

TRAINING ATTIRE:
Athletes must wear the club t-shirt and black leggings/bike shorts or club apparel. Neatly tied-up hair, no jewellery, short fingernails, and the use of the correct cheer/dance shoes are mandatory. All competition athletes are required to have their shoes by END OF MARCH.

COMPETITION ATTIRE:
Athletes must adhere to the competition uniform for official functions and competitions only. Uniforms are not to be worn at outside events.

UNIFORM RESPONSIBILITY:
Athletes are responsible for their uniforms. Lost uniforms require ordering a new one to which the parent/guardian will cover the full cost.


- - HOT WEATHER POLICY - -
Scorpion Allstars management has the right to cancel classes due to extremely hot weather or unforeseen circumstances without issuing a refund on class fees or makeup class/es.

- - COMPETITION ATHLETES, PARENTS & SPECTATORS - -
POSITIVE ATMOSPHERE:
Focus on effort and performance rather than winning or losing. Show appreciation for all participants, respect officials' decisions, and refrain from abuse or harassment. Abuse, harassment,
bullying and disrespect to any person/s will result in IMMEDIATE dismissal from Scorpion Allstars competition team/s.

ROLE MODELING:
Demonstrate responsibility and good sportsmanship. Report any behaviour not adhering to the code to event providers or Scorpion Allstars staff.

CONSEQUENCES OF BREACH:
Breaches leading to dismissal result in forfeiture of all payments.

ATTENDANCE AND HEALTH:
Athletes must watch lessons if injured. Sick athletes must inform the coach at least 2 hours before class and can join the class via a Zoom call if too unwell to attend and watch the class in person.

UNIFORM USAGE:
Competition uniforms are strictly for competitions and events requiring them. They are not to be worn as costumes to parties or Halloween events or any events that are not required and organised by Scorpion Allstars officials.


- - COMPETITION ATHLETES/PARENTS - -
AVAILABILITY AND TEAM PLACEMENT:
Competition athletes must be available for all competition dates. Missed training dates must be communicated well in advance to avoid removal from routines. It is the coaches discretion if an athlete should be replaced, removed, or have a change of teams.

FRIENDSHIP AND TEAM PLACEMENT:
Team placements are based on age and skill requirements, not friendships.

VIDEO POSTING POLICY:
No videos of routines/stunt sequences can be posted on social media until after the final competition of the season once Scorpion Allstars discloses that routines can be posted.

UNIFORM MAINTENANCE:
Competition uniforms are valid for 2023 & 2024, with replacements ordered by the athlete if needed.

TRAINING SESSIONS:
Athletes must not miss training sessions for the three weeks leading up to a competition. Missing trainings sessions may result in being unable to attend the competition or being replaced for that competition and forfeiting that competition fee.

COMPETITION ARRIVAL:
Arrival times are non-negotiable. Missing warm-up results in the team being unable to compete. ALL ATHLETES must arrive with hair and makeup complete with the first competition costume on underneath their Scorpion Allstars merchandise and comfortable
shoes. Competition shoes are NOT to be worn to the competition.

- - OTHER - -
RESPECT FOR DIVERSITY:
Respect the rights, dignity, and worth of others, regardless of gender, ability, cultural background, or religion.

PARKING POLICY:
Visitor parking is allocated at the front of the complex, and only these spots should be used. Absolutely no parking in the STAFF PARKING spots.

RESTRICTED AREAS:
Parents and athletes are not permitted behind the reception desk, upstairs (unless for a class), or in the storage area at any time.

FOOD AND DRINK POLICY:
No food or drink is permitted on the cheerleading mats or any equipment.

BEHAVIOURAL WARNING SYSTEM:
Parents will be notified if their child’s behaviour becomes unacceptable, with a three-strike policy leading to dismissal.

COMMUNICATION WITH COACHES:
Parents must ask questions or have discussions with coaches before or after class, not during.

PARTICIPATION AGREEMENT:
To participate in any Scorpion Allstars classes, clinics, and/or events, agreement to the code of conduct and/or waiver form is mandatory.

ASSUMPTION OF RESPONSIBILITY:
Participants acknowledge the inherent risks of cheer and dance and assume full responsibility for all consequences.

SPORTSMANSHIP AND KINDNESS:
All Scorpion Allstars members, supporters, athletes, parents, and coaches must display excellent sportsmanship, kindness, and support during all activities.

CONTACT HOURS:
Parents/members are to contact staff for reasons relevant to Scorpion Allstars ONLY and at reasonable hours (Monday-Friday, 10 am-7 pm). Contact outside these hours should be via email, with an expected response within 48 hours. Phone calls or texts on weekends are not permitted.

PUNCTUALITY:
Athletes are expected to arrive 5 minutes before class to prevent lateness.

BEVERAGE POLICY:
No soft drinks, energy drinks, or alcohol are allowed on the Scorpion Allstars premises. Water and Powerade/Gatorade are acceptable.

PROPERTY RESPONSIBILITY:
Scorpion Allstars is not responsible for lost, stolen, or damaged goods. Expensive items should be left at home.

CONSIDERATION AND RESPECT:
All athletes must show consideration and respect to coaches, staff, parents, and each other.

HONESTY AND COURTESY:
All athletes must conduct themselves with honesty and courtesy.

INTELLECTUAL PROPERTY:
Music, choreography, class structure, logos, and uniform designs are the sole property of Scorpion Allstars and must not be used or shared without permission.

CONTACT WITH OTHERS:
Under no circumstances should members contact other gym owners/coaches/athletes/parents.

PARENT VIEWING:
Parents are encouraged to drop-off at the start of class and pick-up at the end of class. Viewing is allowed only if invited or during designated parent viewing days.


By enrolling in Scorpion Allstars, you commit to upholding these guidelines. Failure to comply may result in disciplinary actions, including dismissal from the club and/or legal matters. Your cooperation ensures a positive and enjoyable experience for everyone in the Scorpion Allstars community.
