TERMS & CONDITIONS
PAYMENT POLICIES
Annual $50 registration fee (non-refundable) is payable at time of registration, or on annual basis for returning students.
Term fee payment is due in full at time of registration, or before the start of term for returning students. Students joining after the start of term will only be charged on a prorata basis.
Failure to pay invoices by the due date will result in a weekly late fee of $30. Further delay in payment of fees may result in suspension of enrolment until fees are paid. External debt collection may occur when fees remain overdue, this will be at the sole expense of the client. Direct debit payment plans may be arranged by contacting the office.
AUTOPAY/ DIRECT DEBIT PAYMENT
We use a direct debit payment system. On a monthly basis, AutoPay equally divides the owing balance of your Dance Kix account into 3 equal payments which then is debited from your nominated account/credit card. It is your responsibility to ensure that there are sufficient funds available for the direct debit to take effect, Dance Kix is not responsible for dishonour fees incurred. You can login to your Dance Kix account at anytime to view your account balance to anticipate the direct debit amount. In addition to dishonour fees incurred by your bank, Dance Kix will also add an immediate $5 dishonour fee to your account. If payment is not made within 7 days, a further $30 admin fee will be added to your Dance Kix account and enrolment suspended until your account has been settled in full.
REFUNDS/TRANSFERS.
No refund will be made for failure to attend lessons or if a student does not wish to finish the term of lessons. If you wish to cancel an enrolment, 2 weeks notice is required in writing to the office, class fees must be honoured by the responsible parent during the 2 week notice period.

CANCELLATION OF ENROLMENT
As per our terms and conditions, cancellation of enrolments requires a 2 week written notice period, class fees must be honoured by the responsible parent during the 2 week notice period. If you are cancelling enrolment for the upcoming term and have waited until the term has started to inform us, you are responsible for payment for 2 weeks of classes as per the notice period.
Should your account balance owing be overdue at the time of cancellation, immediate payment is required by the responsible parent/ student. External debt collection may occur when fees remain overdue, this will be at the sole expense of the client.
I understand that I am obligated, by the terms and conditions of enrolment that payment of such will be honoured by the responsible parent/ student.

ABSENCE DUE TO ILLNESS/INJURY
For chronic illness/injury causing absence for consecutive weeks, please contact the principal to discuss the best way forward.

STUDENT SAFETY
When completing this Dance Kix Enrolment Form, all parents/guardians/caregivers confirm, without exception, that the student being enrolled is in good health and physically and mentally able to participate in Dance Kix activities. Any medical condition(s) must be identified and consent given in case of an emergency requiring any medical or other treatment. Providing this information and consent is the sole responsibility of the parents/guardians/caregivers. The emergency contact person noted on this form will always be contacted first before any action is taken unless the situation is life threatening.
All information is kept confidential.
Students and their siblings are not permitted in the studios whilst other classes are in progress. The teaching facility is not responsible for students, their siblings or any other person playing in the waiting room, on the stairs, outdoors, in the trees/vegetation, car park or any other area in and surrounding the facility.
Students to be collected at the studio door after class by parent/caregiver. Dance Kix does not take responsibility for students outside of the premises or inside the premises when not engaged in a class. This responsibility lies solely with the parent/caregiver.
Students who have a break between classes must be collected by their parent/caregiver or wait outside the studio and be supervised by their parent/caregiver. Dance Kix takes no responsibility for the safety of students during this time and it lies solely with the parent/caregiver.
We are unable to take responsibility for our students before or after their scheduled classes and it is the responsibility of the parent to ensure their child is picked up and dropped off on time. In the case of an emergency or unavoidable delay, please contact the studio immediately to inform us of the situation so we can keep your child calm and safe until they can be collected.
Social distancing must be maintained by parents/caregivers at all times outside the studio to align with our COVID Policy.
COMMUNICATION & CODE OF CONDUCT
Please ensure that you notify Dance Kix of any changes to your circumstances so that we can better meet the needs of the student. Feedback is always welcomed, and we do our best to communicate with families via our parents facebook group, regular communication emails and e-newsletters.
In the interest of privacy, parents and students are not permitted to contact Dance Kix staff via personal phone, or via email / social networking with studio issues unless it has been broached with the principal first.
In the interest of maintaining a high level of teaching, teachers must not be disturbed whilst instructing a class unless it is an emergency. Parents must wait in the waiting areas or outside the studio until classes have been dismissed. Viewing days (outside COVID procedures) are held for one week in Terms 1, 2, 3 and 4. Dates will be placed in the newsletter. Parents, grandparents and friends etc are welcome to view the student's progress.
Limited physical contact with a student may be deemed necessary to demonstrate exercises and for personal/technical correction, adjusting/measuring/fitting costumes, to assist in toileting for children under 6 or if a staff member needs to administer first aid. Staff will maintain a safe and appropriate distance with students. Staff are trained to seek consent before touching if the need arises for the student to be physically touched. Physical contact can be appropriate so long as it is neither intrusive nor disturbing and the student's consent has been given (Child Protection Act 1999). During COVID, social distancing will be maintained in the studio, however there may be incidents where this will be unavoidable and procedures around hand sanitation and cleaning will be followed.
Parents/caregivers are to maintain open and regular communication with Dance Kix with regards to any custody issues involving their child/ren and/or young person (including the collection of the student at the end of class).

LOST PROPERTY
It is suggested that all clothing and belongings are clearly labelled with the student's full name. At the end of each term all unclaimed lost property will be donated to charity. Dance Kix takes no responsibility for any stolen or misplaced property on the studio premises and we encourage our families to avoid bringing valuable items into the studio where possible.

PARENT MEDIA RELEASE FOR PHOTOGRAPHY AND VIDEOGRAPHY
I give permission for Dance Kix to use video footage and / or photographs of my child/ward. This usage may include (but is not exclusive to) displaying publicly, distributing, or publishing, photographs, and/or videos of my child for use in materials that include, but may not be limited to:

- printed materials (eg - brochures and newsletters)
- online and offline advertising and promotion
- videos and digital images such for use on Social Media.

I acknowledge that I am giving unrestricted permission for my child's image to be used in print, video, and digital media. I agree that these images may be used by Dance Kix for a variety of purposes and that these images may be used without further notification. I do understand that any identifying information including surname will not be used in conjunction with any video or digital images.

At the annual concert performance, Dance Kix contracts a videographer to record the full performance, this is edited and disseminated to concert participants as digital file. Dance Kix takes no responsibility or liability in relation to the use of the video, especially not once it has been disseminated.

I also understand that there may be events and/or performances where other parents/carers and patrons may choose to take video footage and photography which may inadvertently include my child/ren. Dance Kix takes no responsibility or liability in relation to the use of images/videos taken by other patrons at such events and/or performances. Should this be a concern, I understand that I can remove my child/ren from participating in such events/ performances.


HEALTH INFORMATION AND MEDICAL RELEASE WAIVER
I acknowledge that my child's participation in dance activities is potentially dangerous and that there is an inherent risk of injury involved.

In allowing myself/my child to participate in Dance Kix activities, I hereby assume all the risks associated with the performing arts. I understand the importance of myself and the student strictly following the instructions and rules set by their instructor/s, and I agree to release Dance Kix and it's employees of any and all liability which may arise as a result of my child's participation in activities at Dance Kix.
