Studio Handbook: 2020-2021 A Guide for Dancers and Parents

Welcome to The Eight Count! This handbook will serve as your guide to our dance education. As a condition of enrollment at The Eight Count Ltd., all members agree to abide by all policies set forth by its director, faculty, and staff.

STUDIO MANIFESTO The Eight Count Ltd. is where creativity, individuality and self-expression are encouraged through dance. We strive to nurture and develop talent and celebrate the achievements of our dancers. We are committed to providing a safe and positive environment in which our dancers feel empowered, comfortable, and free to express. We believe that dance training encourages individuals to develop a positive self-image as they increase awareness of their physical being. Along with improving coordination skills and developing muscular awareness, dance classes give dancers the freedom to express themselves through movement.

PRIVACY When you purchase/hire a product/service with The Eight Count Ltd., the information we collect includes your name, address, telephone numbers, email addresses, medical information and perhaps credit card or bank details. We will never sell or pass any information to third parties unless required by government authorities or in the event of debt recovery. Any information passed on will be done so with appropriate privacy and confidentiality protection.

FOR OUR DANCERS The first step to becoming a successful dancer is making a solid commitment to your classes. Strong technique is key, and class is where you will continue to develop and grow. Class time is your chance to focus on yourself as progress is made when you look at each class as an opportunity to become better at what you love to do. Dance full-out, stretch a little farther, become more aware of your technique, and make the most of every class. Respect for the teachers is essential. Listen to each correction given, whether it is directed at you or another dancer. A correction is an honor; it shows you how much a teacher cares about your progress as a dancer. Nothing can stop those dancers who apply themselves in every class and appreciate their teachers’ knowledge and experience.

FOR OUR PARENTS: “We’re in This Together” We believe that a dancer’s success depends on the support of their parents/guardians. Your commitment to the process makes an enormous difference, we encourage you to be a part of your child’s dance education. Our programs rely on a positive atmosphere and educational experience for our faculty and dancers and their parents. Your child’s presence at all classes is imperative. The spirit of teamwork and the lesson of dedication are a big part of our studio’s educational process. Parents and teachers may look at a child’s learning from different perspectives. However, we believe they share a common goal: to ensure that every dancer receives the best possible training, both physically and mentally. Mutual respect among our faculty and our dancer’s parents provides the children with the ultimate care and education.

FOR ALL PARENTS AND DANCERS As a parent, you play an important role in supporting your dancer financially, but your emotional support is of equal—and perhaps even greater—value. Encourage your child to be the best that he/she can be regardless of what others may achieve. Dance is an individual art form and children need to be allowed to achieve at a pace that is comfortable for them. No two dancers will progress at the same rate, even if they experience the exact same training. It is important to encourage dancers to focus on themselves, giving it their all, and being satisfied with their own accomplishments. Dance education encompasses far more than technique and the steps your children learn. We believe the discipline of dance training provides a better understanding of commitment through learning, experiencing the spirit of teamwork, and discovering what they can accomplish through hard work.

SEASON THREE DISCIPLINE POLICY We encourage dancers to have respect for all eight count dancers, teachers and staff, studio property, and the development of good habits and compliance with rules of conduct.
• Dancers who exhibit unacceptable behavior/attitudes will be asked to explain current situation and will be directed to a positive alternative approach in behavior.
• Those that are disruptive will respectfully be asked to stop the behavior. If behavior is repeated, a reminder and explanation of how it affects others will be explained. If disruption continues, those involved will be asked to sit down for a short period of time (usually three to five minutes) before rejoining the class.
• If misbehavior continues to disrupt class, the parent/guardian will be called to pick up the child for the remainder of the class.

COMMUNICATION Our primary means of communication is via email, please ensure you have provided us with an up-to-date email address that is regularly checked. Don’t forget to add our email address to your contacts so we don’t end up as Spam! We also use Facebook and Instagram for us to keep in touch, we encourage all families to join our pages. SAFETY As a member of our studio, below you will have read and signed a media waiver allowing us to proudly use images and video footage of your dancer for advertising and promotional purposes. Should you have any concerns whatsoever with signing this declaration, please contact us and we would be happy to discuss any concerns. Current members may request a revision by making contact via email. The directors and staff at The Eight Count Ltd. are educated in the negative impact of inappropriate music and costume selection when it comes to performing dance routines. We are wholeheartedly committed to ensuring our choreographed routines are not subjected to any inappropriate songs or costuming. The Eight Count Ltd. takes no responsibility for any stolen or misplaced property on the studio premises and we encourage our families to avoid bringing valuable items into the studio when possible.

WEATHER CANCELLATIONS Studio closures due to severe weather conditions will be announced by 3pm Monday-Friday and by 8am Saturday – Sunday. Notifications of class cancellations due to weather will be posted on social media: Facebook & Instagram. Please make sure you are following us. Classes missed because of weather closures may be made up in a similar class as per current scheduling. Classes will not be rescheduled, and refunds will not be offered.

MEDICAL INFORMATION The Eight Count Ltd. must be notified should your dancer require the use of an inhaler or who may require medications during their time at the studio. It is also important to inform the director and/or teachers about your child’s existing medical conditions or learning disabilities at the time of registration and throughout the season. The more we know about your dancer, the better the dance experience will be for all involved. All information about our members are confidential. We enforce a nut-free policy at the studio to ensure the safety of any dancers, parents, or staff with allergies to nuts or nut products. Should your child require an EpiPen please advise if you will provide us with one OR where your dancer will have with him/her in case of an emergency.

COVID 19 To ensure the health and safety of our faculty and dancers, The Eight Count Ltd. is following all guidelines and protocols set in place by section 22 of Wellington Dufferin-Guelph Public Health and the Ontario Government. As the legal parent/guardian, you agree and will adhere to The Ontario Dance and Performing Arts Studios Workplace Guidelines for COVID-19
The Eight Count Ltd. is adhering to all safety measures and protocols and undersatand there are risks associated with the current pandemic while attending classes and will not hold The Eight Count Ltd. accountable as I have chosen to ensure my child receives the health benefits of dance. Dancers and faculty will be asked to wear face coverings, sanitize/wash their hands before and after class(es) and fill out a self assessment questionnaire – confirming no current symptoms of COVID-19 prior to entering our facility.

COVID DAILY QUESTIONNAIRE *Must be completed prior to each visit*
When assessing for symptoms within our Daily Questionnaire, you should focus on evaluating if they are new, worsening, or different from your child’s baseline health status or usual state. Symptoms associated with known chronic health conditions or related to other known causes/conditions should not be considered unless new, different, or worsening. If you need additional information about COVID-19 or have a question specific to your child and their health, please contact your health care provider. Kindly understand that procedures and guidelines may change and evolve to fall in line with updated government restrictions. Should The Eight Count Ltd. be forced to close due to COVID-19 any upcoming payments will be stopped at the date of closure. Refunds will not be provided as dancers accounts’ will be credited toward future dancing at The Eight Count. If outstanding tuition is due for classes that have already been taken, an etransfer will be required to to settle accounts 48hours from announced closure date.

REGISTRATION On a first come, first served basis. Returning dancers are given priority during “Pre-Registration”. All registrations are processed in the order received. Class size limitations will be strictly observed, and we do not hold spots for returning dancers, so please register as soon as possible. We require a minimum of 5 dancers to run a class.
Our SEASONAL non-refundable registration fee is $20 per dancer or $35 per family and must be paid in full at time of registration. Failure to pay your registration fee in time may result in losing your place in your selected class(es). S

UNIFORM At The Eight Count Ltd. we believe that wearing a class uniform provides dancers with a sense of belonging to our family as well as creating an identity for our studio in the greater community.
• Encourages discipline • Help identify non-members of the studio • Diminish economic and social barriers between dancers • Increase a sense of belonging and school pride
Please ensure your dancers’ shoes are clearly labelled!
Do not purchase uniform until dancer is registered. At time of registration/consultation your dancers’ uniform requirements will be discussed.
• For your convenience fitting is available and attire can be purchased through us at The Eight Count
• Manufacturer, Colours and Sku’s can be provided should you wish to purchase on your own

ATTENDANCE Your dancers’ attendance in class is especially important to their peers and our instructors. As a member of The Eight Count team, it is a commitment for you to ensure your child attends their class(es) on time each week and attends all lessons planned for them. Not only do absences impact choreographed routines we create, but it also impacts the social and confidence-building principals we work hard to foster in each age group. If you know that your child will be absent due to holidays/vacations, commitments, or school trips, please let us know ahead of time so the class impact is minimal.

TARDINESS Dance is a physical activity that requires the body to be warmed up and stretched to execute movement safely. Dancers that arrive late will miss the proper warm-up/stretch and therefore may sustain injury. Dancers who arrive more than 10 minutes late may be asked to observe class for reasons of personal safety and will be to the discretion of the instructor based on the agenda for that particular class.

WITHDRAWAL If withdrawal from the studio is wished to be made, a 30-day written (note or e-mail) notice to the Director (verbal withdrawals are not accepted) must be given before withdrawing during the season and tuition will continue to be due until the end of the 30- day notice. Simply stopping attendance to class does not constitute withdrawal from the studio, and the dancer is still considered enrolled and tuition continues to be due until written 30-day notice is given to the Director from the person(s) responsible for the account payments. With the written notice, refunds for tuition (ONLY) will be provided for classes that have not yet occurred and can take up to 90 days to be processed.

TERMINATION OF ENROLLMENT In certain circumstances, when it is in the best interest, it may be necessary for the studio to terminate a dancers’ enrollment. Every effort will be made to correct a problematic situation before terminating enrollment. Reasons for termination of enrollment include the following, however not limited to:
• Disruptive or dangerous behavior by dancers or their parents
• Abuse of other children, staff, or property
• Delinquent account
• Inability of The Eight Count Ltd., to meet the child’s needs

SOCIAL MEDIA Referring to all social networking sites, video/photo sharing sites, blogs, micro-blogs, wikis, podcasts, forums, instant messaging, and geo-spatial tagging (for example, Facebook check-ins). Please see below for our standards regarding Social Media and feel free to contact our office staff if you have any questions.
• Dancers and parents should neither claim nor imply that they are speaking on behalf of The Eight Count Ltd.
• Any comments or posts perceived to be obscene, defamatory, threatening, harassing, discriminatory or hateful towards The Eight Count Ltd. staff, dancers or families may subject the owner of comments to disciplinary/termination/legal action
• Any content revealing or referring to sensitive studio information is not allowed to be shared online
• Never post anything that could compromise the self-esteem of dancers who attend The Eight Count Ltd.
• You may not post photographs/videos that feature The Eight Count Ltd. dancers other than your own online without the proven consent of their parent/guardian. Identifying information of any featured minors - including names, ages, or location - must be removed when posting on Social Media
• If you post videos of class or rehearsals, do not post any choreography in its entirety; The Eight Count Ltd. owns the copyright to all choreography taught at the studio
• Respect the law, including those laws governing defamation, discrimination, harassment, and copyright and fair use. Members of The Eight Count should never post negative comments about other schools/studios or teachers/choreographers.

FUNDRAISERS Every dancer is required to participate in fundraisers. This will help support recitals, purchase of supplies, equipment, costumes, and event fees. You have the option of paying a “Non-Participation Fee” of $50.00 per dancer or $90.00 per family should you wish not to participate.

✓ The Eight Count does not offer refunds for missed class(es)
✓ A dancer may make up an absence in a similar class if available
✓ If a dancer cannot continue with enrolment due to health risks, a doctor’s note is required for refund of remaining season (does not include registration or classes that were missed)
✓ Payments are preferred by E-transfer
✓ Late payment fee of $20.00 plus an additional $8.00 per day (based on confirmed terms at time of registration)
✓ By signing the below waiver, you release The Eight Count Ltd. and all its claims with regards to injury which may be sustained by your dancer while attending any dance class, events associated with The Eight Count Ltd.
✓ The Eight Count Ltd. takes no responsibility for any stolen or misplaced property on studio premises or during events
✓ The Eight Count Ltd. reserves the right to make changes to Times/Dates or Instructors on our schedule at any time
✓ I am aware of the importance of attendance to dance class as absences will hinder my/my dancers learning experience
✓ Based on my/my dancers’ classes(es) and discussions with The Eight Count faculty, I am aware of the Uniform Structure
✓ In the event of cancelation due to weather or unforeseen circumstances, make up classes or credit towards account may be provided
✓ CREDITS expire one year from date of issue and are non-transferable.
✓ The Eight Count Ltd. reserves the right to terminate any dancer’s enrollment at any time for misconduct or inappropriate actions by either the dancer or his/her parent(s).
